Document Controller - Legal (Arabic & English Speaking)

Job Summary:

The Bilingual Document Controller manages the lifecycle of legal documents, who is fluent in Arabic and English to manage, organize, and maintain company legal documentation, including contracts, litigation case files, correspondence, and regulatory filings. The key goal is to ensure all documentation is accurate, securely stored, and easily accessible while maintaining high confidentiality.

Key Responsibilities

  • Bilingual Document Management: Receive, review, and file legal documents (contracts, briefs, notices) in both languages, ensuring accuracy of translation and terminology.
  • Case File Organization: Maintain, index, and organize physical and digital case files, ensuring logical structure and easy retrieval.
  • Confidentiality & Compliance: Handle highly sensitive legal documents with discretion, complying with data security protocols and legal retention policies.
  • Version Control: Ensure that the most recent versions of contracts and documents are in use and that superseded versions are archived.
  • Data Entry & Reporting: Register new documents, input data into the Document Management System (DMS), and prepare weekly/monthly status reports.
  • Liaison & Support: Act as the central point of contact for document-related queries between the legal team, external counsel, and clients.

Key Skills and Qualifications

  • Language Proficiency: Excellent written and verbal communication skills in both English and [insert required language, e.g., Arabic], with the ability to translate legal terminology.
  • Experience: Proven experience (usually 3-5+ years) as a Document Controller, preferably within a law firm, corporate legal department, or legal consultancy.
  • Technical Proficiency: Strong computer literacy, including MS Office Suite (Word, Excel, PowerPoint), and experience with document management software (e.g., SharePoint).
  • Attention to Detail: Meticulous attention to detail to ensure accuracy in scanning, filing, and numbering.
  • Organization & Confidentiality: Exceptional organizational skills and high professional discretion when handling confidential information.
  • Education: Bachelor’s degree in Administration, Law, or a related field (preferred, but equivalent experience is often accepted).
