About The Role


The Donor Services Coordinator provides essential administrative and operational support to the Donor Services team.


This position is responsible for supporting gift entry and donor stewardship processes, managing internal systems and documentation, coordinating meetings and events, and assisting with the preparation of donor materials and reports. It also helps administer fund management and impact reporting processes to ensure donor intent is upheld.


As a member of the Donor Services team this position strives to support a positive and cohesive giving experience for donors to PSU Foundation. This position regularly interacts with Foundation staff and PSU stakeholders.


This role requires regular cross-team collaborations, very strong attention to detail, and a demonstrated ability to successfully work in a fast-paced, high-volume environment.


Position Overview

  • Supports administrative functions of the Donor Services team, including inbox management, scheduling, note taking, and follow-up.
  • Supports execution of mail processing, gift entry, tax receipts and pledge reminders.
  • Coordinates logistics of donor correspondence as needed, including donor acknowledgements, tribute gift notifications, condolence/celebration notes and tokens of gratitude.
  • Coordinates reporting processes, including fund impact reporting and monthly fund utilization reporting.
  • Provides support for proofreading and assembly of donor reports.
  • Provides support for administration of scholarships, fellowships, professorships, and other philanthropic funds to uphold donor intent.
  • Serves as point of contact to external constituents navigating sponsorship and ticket site setup and other revenue processes related to PSUF-approved campus fundraising events.
  • Serves as point of contact for data/information requests, monitors incoming inquiries, and coordinates responses to internal and external constituents.
  • Responsible for data entry and records maintenance, including managing and maintaining both hard copy and digital document storage systems as well as information held in the Foundation’s databases.
  • Performs other duties as assigned.

Minimum Qualifications

  • 3-5 years of relevant administrative experience in a high volume, fast-paced environment.
  • Bachelor’s degree or equivalent combination of education, training, and relevant experience.
  • Proficiency with commonly used workplace technologies, such as Microsoft Office, SharePoint, CRM platforms, and other cloud-based collaborative task or project management tools.
  • Demonstrated ability to contribute to an inclusive, equitable, and respectful workplace by working collaboratively with people from a wide range of backgrounds, identities, and experiences.

Preferred Qualifications

  • Experience working in higher education, non-profit organizations, or a high-paced corporate environment.
  • Working knowledge of Asana or other project management tools.
  • Experience with Blackbaud CRM or other donor or financial databases.

  • Hiring Range: $21.23 - $25.21
  • Offers are determined based on a candidate’s skills, experience, and qualifications, while ensuring internal pay equity.

All employees—hourly and salaried—work 32 hours per week and receive compensation equivalent to a full 40-hour schedule.
