  Our
  
   Editorial Assistant
  
  will be responsible for a wide range of editorial and publishing activities, including manuscript editing and project management, as well as managing the publishing systems that support the Journal publication teams, and other administrative support. They will be working directly with the Sr Managing Editor and Team Lead of Publications on Journal projects. They will play an essential role in supporting the work of the Journal, helping to resolve technical and content-related issues as they arise and contributing to the overall quality and integrity of the publication.

   Editorial Assistant
  
  will work remotely.
 
   More about what you’ll get to do as our Editorial Assistant:
  
- 
   Provide editing and formatting support for the Journal.
  
- 
   Work with authors and editors to resolve questions generated during the editing and review process and ensure high quality publications.
  
- 
   Serve as administrator for the manuscript submission and peer review platform, including pre-flighting submitted articles to ensure that files submitted are complete, accurate, and ready for peer review, and tagging articles appropriately for iThenticate issues, special issues, etc.; provide regular updates to authors about status of their manuscript and reminders to the Editor-in-Chief (EIC) and associate editors about overdue manuscript tasks; generate reports and track manuscript metrics.

   Support the issue proof process by learning to conduct final reviews of press files, including proofreading all content, verifying layout and formatting accuracy, and coordinating final corrections with the publisher.
  
- 
   Assist with second edits of complex manuscripts and columns, applying a strong attention to detail and developing proficiency in American Medical Association (AMA) style to uphold editorial standards.
  
- 
   Help maintain and update the Journal style guide, ensuring consistent application across content and staying current with style changes.
  
- 
   Review and respond to all emails received in the Journal inbox, including author inquiries, internal and external Journal permission requests, etc., or forward them on to the appropriate parties for a response.
  
- 
   Work with the Journal EIC and Sr Managing Editor to coordinate all stakeholders, including guest editor, authors, to ensure adherence to manuscript delivery schedules for Journal special focus issues and Journal special reports
  
- 
   Assist the EIC and associate editors in identifying and contacting peer reviewer candidates.
  
- 
   Schedule and support the quarterly external Journal meetings, including Editorial Board.
  
- 
   Provide administrative support as needed, including the processing of honorariums.
  
- 
   Set up online surveys through Survey Monkey account and coordinate with Marketing on their email invitations.
  
- 
   Manage the sprint process with defined schedule expectations for other department projects.
  
- 
   Provide written and/or verbal reports to Sr Managing Editor and staff as needed.
  
- 
   Back up editorial team members when they are out of the office.
  
- 
   Help with maintaining style guide.
  
- 
   Other duties as assigned.
  
   Must Have’s to be our Editorial Assistant:
  
   MINIMUM QUALIFICATIONS
  
- 
   Bachelor’s degree in English, Journalism, Communications or related field.
  
- 
   Previous editing experience.
  
- 
   Knowledge of American Medical Association (AMA) style guide.
  
- 
   Experience working on publications, particularly ones that are scholarly and peer-reviewed in the medical or scientific fields.
   
   PREFERRED QUALIFICATIONS
  
- 
   Knowledge of Scholar One and/or Research Exchange.
  
- 
   Knowledge of copyright and permissions.
  
- 
   Experience working with online products and publishing content management and delivery systems.
  
- 
   Experience with or knowledge of xml coding and content management and delivery platforms.
   
   KNOWLEDGE, SKILLS AND ABILITIES

   Editing skills; strong grasp of grammar and language use.
  
- 
   Attention to detail.

   Deadline driven, able to manage multiple tasks simultaneously, and able to work efficiently under pressure; strong time-management, organization, and prioritization abilities.

   Proficient in Microsoft Office software suite, including Word and Excel.

   Familiarity with various technologies and applications (e.g., Adobe) in a publishing environment.

   Excellent communication skills, both verbal and written, as well as strong organizational and interpersonal skills.

   Ability to work collaboratively and independently, particularly in coordinating and completing projects.
