Manage the day-to-day coordination and logistics of engineering projects and department. This includes scheduling meetings, preparing reports, organizing technical documentation, monitoring deadlines, and ensuring team adherence to project plans and quality standards.

  • Manage sustainability documentation for audit purposes.
  • Oversee documents preparation and presentation related to sustainability.
  • Prepare and implement energy saving methods.
  • Prepare the monthly sustainability report.
  • Manage inventory and payroll.
  • P&L Report preparation for engineering
  • Develop policies and procedures for sustainability and environmental development
  • Manage and maintain documentation for Annual Maintenance Contracts (AMCs).
  • Maintain organized files for all third-party reports and certifications.
  • Ensure the accurate filing and maintenance of municipality required documents for compliance.
  • Facilitate and track preparatory checks related to contracts and maintenance.
  • Ensure the uninterrupted flow of information to the Director of Engineering, Assistant Director, supervisors, and all other Engineering Staff Members.
  • Perform secretarial work, including taking and transcribing dictation and composing correspondence based on general instructions.
  • Screen and route mail and documents, determining which to respond to or which require the Director's immediate attention.
  • Organize and maintain departmental files of records, reports, and correspondence for reference and efficient operation.
  • Maintain up-to-date management and procedural manuals; interpret new directives, policies, and regulations and inform appropriate personnel of changes.
  • Schedule and coordinate arrangements for seminars, conferences, appointments, meetings, and speaking engagements for the Director.
  • Attend meetings to take minutes, provide information, and serve as a resource person.
  • Interview callers, answer questions concerning departmental activities, and serve as a liaison with administrative personnel and external agencies.
  • Effectively communicate with staff in verbal or written form, listen and observe to ensure comprehension, and keep staff well informed.
  • Compose letters and statements independently requiring the interpretation and application of departmental policies.
  • Inspect all invoices and receiving reports to verify that quantity ordered matches quantity received.
  • Review prices, points, and payment terms to ensure agreement with the purchase order and dispose of any discrepancies.
  • Maintain interface with vendors to ensure procurement of high-quality merchandise, expedient delivery, and dependable service at optimum price.
  • Refer problems involving deliveries or invoices to the buyer for resolution.
  • Assist the Director of Engineering in preparing administrative reports and budgets.
  • Review reports received for the supervisor, check and compare with source documents, and bring significant items, changes, errors, or omissions to their attention.
  • Advise every engineer staff member on work assignments and review work for accuracy and completeness.
  • Participate in departmental and hotel problem-solving teams during weekly and monthly core meetings.
  • Maintain clean and orderly conditions in the assigned work area.
  • Strive to establish a positive, friendly, and disciplined work atmosphere.
