A. Work Order Planning & Pre-Execution
- Prepare/Review the Customer Requirement Forms (CRF) in line with Purchase Orders, contractual compliance requirements, and approved Bill of Materials (BOM).
- Plan and deploy manpower resources (technicians, supervisors, operators) including coordination with planners for additional requirements.
- Ensure tools, spares, and consumables are packed, inspected, and dispatched strictly as per BOM and job scope.
- Manage onboarding of casual/contract technicians, including wage finalisation, documentation, and timely submission to HR.
- Conduct pre-job briefings covering job scope, billing cycle, quantity recording (flange tagging), reporting requirements, and safety expectations.
- Plan and approve IOUs, advances, and site expense budgets.
- Guide and monitor logistics for mobilisation planning, transportation, and delivery schedules.
- Act as the primary operations interface for client coordination, ensuring alignment with scope and project summaries shared by the sales team.
B. Rental Operations & Site Execution
- Execute end-to-end site operations, ensuring timely mobilisation and demobilisation of tools and manpower.
- Optimise deployment through inter-site transfer of tools and manpower to avoid delays and control operational costs.
- Arrange accommodation (hotels/rooms) in line with project duration, expense budget and company policy.
- Manage gate pass documentation, including creation, validity tracking, renewals, and cancellation post job completion as per client procedures.
- Monitor daily and weekly site productivity, coordinating with clients and field teams to ensure job availability and continuity.
- Lead emergency response planning, including backup manpower, tool allocation, and technical issue resolution at sites.
- Resolve discrepancies related to attendance, productivity, quantities, billing, or client concerns in coordination with sales and accounts.
- Ensure compliance with HSE standards, SOPs, and client safety requirements at all sites.
C. Asset, Inventory & Resource Management
- Manage rental fleet utilisation, availability, preventive maintenance, and operational readiness of tools and equipment.
- Track asset movement, condition, and job-wise utilisation across sites.
- Maintain inventory in optimum condition and raise Capex requirements proactively.
- Coordinate with service team for repairs, calibration, and tool readiness.
D. Post-Execution & Commercial Closure
- Review job completion summaries and scrutinise log sheets prior to submission to sales and accounts for billing.
- Ensure resolution of documentation or billing discrepancies before commercial handover.
- Ensure timely collection of Work Completion Certificates (WCC) and customer feedback forms.
- Collect customer appreciation letters and service feedback for internal records.
- Ensure site expenses are submitted, verified, and booked within defined timelines.
E. Manpower Planning, Training & Capability Development
- Identify, onboard, and plan deployment of new technicians as per operational requirements.
- Conduct preliminary interviews and technical evaluations for field manpower.
- Train teams on site leadership, roles & responsibilities, customer interaction, and safety compliance.
- Conduct technical and behavioural training on report writing, documentation accuracy, and log sheet maintenance.
- Build a culture of accountability, discipline, and continuous improvement within the operations team.
F. Cost Control, MIS & Continuous Improvement
- Monitor and control operational costs including manpower, logistics, repairs, consumables, and site expenses.
- Track job-wise profitability and highlight deviations with corrective action plans.
- Maintain and update RE Sheets / MIS dashboards for all running projects.
- Ensure timely submission of attendance, allowances, compliance documents, and expense statements to HR and Accounts.
- Provide operational inputs for Root Cause Analysis (RCA) and service/process improvement initiatives.
