Job Description:

Event Coordinator II

Salary: $60,000–$70,000
Location: Shirley, NY

Hours: Mon-Fri 9am-5pm (some nights and weekends)

About the Foundation:
The New York Cancer Foundation provides financial support to cancer patients that are in treatment across New York State, helping to reduce some of their household financial burden. Since 2016, the Foundation has been a resource for those undergoing treatment for cancer, paying household bills directly supporting those families in need.

Position Overview: The Event Coordinator II is responsible for assisting Manager with Event planning, coordinating, and executing impactful fundraising events that drive donor engagement and financial contributions. This role demands a creative, detail-oriented individual who can work independently and collaboratively while managing multiple projects and stakeholder relationships.

Key Responsibilities:

  • Report to Event Manager regarding all duties and aspects of annual fundraising events planning

  • Work with Manager to source and manage event vendors including assistance with RFPs

  • Work with Manager in creation of Marketing plans used to promote events as well as grow donor database

  • Maintain donor and grant recipient data using Donor Management platform and Monday.com

  • Assist with preparation of event reports and board presentation materials (KPIs, photos, YOY comparisons)

  • Manage the Foundation website and cross-train staff for support

  • Assist with coordinating volunteers as well as event logistics, including setup and breakdown

  • Assist with maintaining accurate financial records using QuickBooks (donations, vendor payments, reconciliation)

  • Collaborate with management to promote events through email campaigns, social media, and outreach efforts

  • Collect and analyze event data, feedback, and metrics to inform future planning

  • Attend and all Foundation events, including evenings and weekends

  • Other duties as requested or needed by Manager/Director

Qualifications:

  • Bachelor’s degree preferred

  • 2-3+ years of event management experience (nonprofit experience strongly preferred)

  • Proficient in QuickBooks, Microsoft Word, Excel, as well as knowledge of Donor Management/Event Management platforms

  • Proficient with technology and working with all types of data and informatics

  • Excellent communication, interpersonal, and organizational skills

  • Ability to work with diverse populations and support patients during difficult times

  • Must be able to lift up to 25 lbs and work flexible hours, including evenings/weekends
