Job Summary:

The Event Operations Executive will be responsible for planning, coordinating, and executing all event logistics and operations. This includes vendor management, on-site coordination, budgeting, and ensuring seamless execution of events from start to finish. The role demands strong organizational skills, multitasking ability, and attention to detail.

Key Responsibilities:

1. Event Planning & Coordination

  • Assist in the planning and execution of corporate, social, and promotional events.
  • Prepare event timelines, checklists, and task allocations.
  • Coordinate with internal teams (marketing, production, sales, etc.) for event requirements.

2. Vendor & Client Management

  • Identify and manage vendors for logistics, catering, décor, audio-visual, printing, etc.
  • Negotiate contracts and ensure timely deliveries.
  • Maintain strong relationships with clients, ensuring smooth communication before, during, and after the event.

3. On-site Event Execution

  • Oversee event setup, registrations, guest management, and technical arrangements.
  • Ensure all event elements (lighting, sound, signage, seating, etc.) are executed as planned.
  • Handle last-minute changes or issues efficiently.

· Supervise daily operations of the venue including event setup, logistics, maintenance, and cleanliness.

· Ensure all areas (halls, meeting rooms, parking, restrooms, etc.) are event-ready at all times.

· Manage event layouts, seating arrangements, lighting, and sound coordination as per event requirements.

4. Budget & Reporting

  • Assist in preparing event budgets and monitor expenses to ensure cost efficiency.
  • Maintain accurate records of payments, invoices, and reports.
  • Prepare post-event evaluation reports including feedback, learnings, and ROI analysis.

5. Compliance & Safety

  • Ensure all necessary permits, safety standards, and compliance requirements are met.
  • Coordinate with venue authorities and ensure adherence to company policies.

Required Skills & Competencies:

  • Excellent organizational and multitasking skills.
  • Strong communication and negotiation abilities.
  • Attention to detail and ability to work under pressure.
  • Good understanding of event logistics and production.
  • Proficient in MS Office (Excel, PowerPoint, Word).
  • Flexibility to work evenings, weekends, and travel as needed.

Qualifications:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or related field.
  • 2–5 years of experience in event operations or coordination (for Executive level).

Preferred Attributes:

  • Experience in handling large-scale events .
  • Creative problem solver with a positive attitude.
  • Ability to lead teams and manage multiple projects simultaneously.

Job Type: Permanent

Pay: ₹13,153.03 - ₹40,000.00 per month
