POSITION SUMMARY
World of Illumination (WOI) is seeking an energetic, growth-focused, and hands-on Events Assistant to help power the seamless execution of our productions and create unforgettable experiences for every guest we touch. This is a role for a self-starter who thrives in fast-paced, dynamic environments and is eager to build a career in live event operations and production.
The Events Assistant provides administrative and operational support across the Event House division, ensuring the smooth and efficient execution of live events, and productions. This role requires strong organizational skills, adaptability, physical stamina, and a working knowledge of event operations and production environments. A background or demonstrated interest in lighting and technical event systems is preferred. This position supports day-to-day operations, including documentation, seasonal staffing needs, and generalized organizational support across the team, while also playing an active role on the floor during live events.

KEY RESPONSIBILITIES
- Provide general administrative support to personnel within the Events and Operations teams, including Leads, Supervisors, and Managers.
- Assist in creating, maintaining, and organizing internal resources, event rundowns, checklists, production schedules, and operational guides.
- Support the preparation, organization, and distribution of operational and event materials ahead of and during productions.
- Serve as a hands-on support resource during live events, stepping into operational or technical roles as needed to address staffing gaps and evolving production needs.
- Assist the technical teams with load-in, setup, focus, and strike of event production equipment, under the guidance of leadership.
- Maintain, organize, and inventory technical equipment, including lighting fixtures, cables, and rigging accessories.
- Communicate clearly and effectively with team members across all levels, from front-of-house staff to production crew, to ensure consistent and efficient event execution.
- Utilize company software and programs to track daily progress, manage deliverables, and support operational needs across the event calendar.
- Maintain flexibility to assist with a wide range of tasks in response to shifting priorities before, during, and after events.
- Perform any other duties as assigned by the VP of Operations or leadership.
PHYSICAL REQUIREMENTS & WORK CONDITIONS
- Ability to stand for extended periods of time, as well as sit, walk, push, pull, bend, and climb as required by job duties.
- Ability to regularly move and/or lift up to 50 pounds.
- Ability to climb ladders and stairs and work at heights exceeding 15 feet.
- Ability to tolerate loud noise levels and function effectively in busy, fast-paced event environments.
- Must be comfortable working around moving mechanical parts, heavy machinery, and production equipment.
- Proficient within the full G-Suite Workspace and comfortable navigating a variety of event management programs and software.
- Willingness and ability to work and travel to various event sites during daytime, evening, holiday, and weekend hours as required to meet operational deadlines and support live productions.
- This is an in-office position and requires the ability to reliably commute to the office on a daily basis.
QUALIFICATIONS & SKILLS
- Prior experience in event operations, live production, theater, or a related field required.
- Working knowledge of or demonstrated interest in live event lighting systems, rigging, and technical production strongly preferred.
- Familiarity with lighting consoles and basic programming concepts is a plus.
- Strong organizational and time-management skills with the ability to juggle multiple priorities simultaneously.
- Clear written and verbal communication skills, with confidence communicating across all levels of a production team.
- Attention to detail and a commitment to following established processes and safety protocols.
- Team-oriented mindset with a willingness to assist across departments and take on varied tasks as needed.
- Ability to multitask and adapt quickly in a dynamic, fast-moving event environment.
- Comfort with and curiosity about technical systems, equipment, and production workflows.
Job Type: Full-time
Pay: $23.00 per hour
Expected hours: No less than 40 per week
