About Student Life at UOWD


The Student Life Department plays a central role in shaping the holistic student experience at UOWD. Working closely with academic schools, professional services, alumni, and external partners, the department delivers programs and initiatives that foster student engagement, community building, leadership development, and institutional pride.

Student Life is responsible for planning and delivering a wide range of university‑wide activities, including student engagement events, academic conferences, guest lectures, alumni activities, executive education events, and milestone celebrations such as graduation. The department acts as a key connector across the University, ensuring events reflect UOWD's values, enhance campus vibrancy, and strengthen relationships with internal and external stakeholders.

About the Role


UOWD is seeking a highly organised and enthusiastic Events Coordinator to support the planning, coordination, and delivery of a diverse portfolio of university events. The role is central to the Student Life team and contributes directly to events that support the University's mission, brand, and community engagement.

The Events Coordinator is responsible for end‑to‑end event delivery, from concept development and promotion through to logistics, stakeholder coordination, risk management, and post‑event evaluation. This role requires close collaboration with internal departments, students, faculty, alumni, vendors, and external partners.

Key Responsibilities

Event Planning & Delivery

  • Conceptualise, plan, and deliver a range of university events including academic conferences, executive training programs, guest lectures, student and alumni events, and ceremonial events such as graduation

  • Define event objectives, develop detailed timelines, and ensure delivery within agreed timeframes

  • Coordinate venues, catering, audio‑visual requirements, speakers, performers, and event themes where applicable

Event Promotion

  • Partner with the University's Marketing team to promote events across appropriate communication channels

  • Support the development of event collateral and manage event registration pages

  • Track promotional effectiveness and engagement levels

Logistics & Operations

  • Manage event registration processes and attendee communications

  • Coordinate transportation, guest accommodation (where required), setup and breakdown of event spaces

  • Troubleshoot and resolve issues during events to ensure a seamless attendee experience

Budget & Vendor Coordination

  • Develop and track event budgets, ensuring expenses remain within approved allocations

  • Work with the Procurement team to source vendors and service providers in line with university procedures

Stakeholder Engagement

  • Liaise with faculty, administrators, student organisations, alumni, vendors, and external partners

  • Maintain strong working relationships and ensure timely communication before, during, and after events

Reporting, Evaluation & Risk Management

  • Conduct post‑event evaluations and prepare reports outlining outcomes and improvement opportunities

  • Ensure all events comply with university policies, regulatory requirements, and safety standards

  • Conduct risk assessments and support contingency planning for events

Working Environment

This role operates primarily on campus and involves frequent engagement with students, staff, and external stakeholders. Occasional evening or weekend work is required to support events, workshops, or major university activities. Attendance at off‑campus events may be required, with transportation provided by the University.

Qualifications, Experience & Skills


Essential

  • Minimum 3 years' experience in event planning or coordination

  • Strong project management and organisational skills

  • Excellent communication and stakeholder management capabilities

  • Experience using event registration systems and relevant event technologies

Desirable

  • Experience in a university, education, or not‑for‑profit environment

  • Familiarity with large‑scale or ceremonial events
