Executive Administrative Assistant

Overview
Luxury home builder and real estate development company seeking an executive administrative assistant to support project execution and ensure seamless communication between management, clients, and project teams. Responsibilities include managing schedules, confirming client product selections, and overseeing administrative and coordination tasks to ensure projects are executed efficiently.

Duties & Responsibilities

Project Coordination

  • Oversee project activities from initiation through completion in a timely manner.
  • Maintain and update project schedules, track progress, and communicate status to management.
  • Manage purchase orders and coordinate procurement of finish fixtures, materials, and products.

Client and Management Communications

  • Serve as the primary liaison between management and clients/property owners.
  • Communicate project updates, scope changes, and additional work orders in a timely manner.
  • Manage telephone and email correspondence promptly and professionally.

Administrative & Insurance Responsibilities

  • Maintain company insurance policies and coordinate additional coverage with clients as needed.
  • Verify and track subcontractor insurance compliance for each project.
  • Assist with documentation and administrative tasks as required.

Marketing & Online Presence

  • Aid in managing company social media accounts, website updates, and marketing initiatives.

Qualifications

  • Proficient in Microsoft Excel and Outlook.
  • Excellent written and verbal communication skills.
  • Strong organizational skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Professionalism in handling communication and coordination between management, clients, and project teams.

Job Types: Full-time, Part-time

Pay: $28.00 - $34.00 per hour
