Job Description: Executive Administrative Assistant Support
Requirement: Immediate hire, Full time, Full benefits
Work week: 8 hours, 0700 until 1630 daily; up to 80 hours of overtime by request
Work Location: Onsite, building 1436 for Naval Construction Group One, Port Hueneme
Clearance: Secret
Salary: $40.00/hr – ($83,200/yr)
Qualifications:
- Associate’s Degree from a U.S. accredited university or equivalent experience.
- 8 or more years of experience with Microsoft Word, Outlook, Excel, PowerPoint, Access.
- Communicate orally and in writing clearly and concisely.
- Knowledge of the NMCB’s organization, regulations, policies and procedures.
Essential Duties and Responsibilities: Perform a variety of executive command administrative support services for Naval Construction Group One to include the following:
- Provide administrative reach-back for routine correspondence, file sharing, as well as schedule and VTC coordination.
- Provide administrative support to enable drill weekends, and mobile training teams.
- Prepare executive level correspondence, route mail and files, and manage Outlook calendars.
- Track and route official administrative correspondence, and attend and record meetings.
- Provide information, written reports and metric briefings to leadership.
- Compose routine official correspondence, social or personal acknowledgements, congratulatory letters, and acceptance letters.
- Receive, send, and route daily mail.
- Maintain file systems for correspondence, fitness reports, evaluations and command business to include maintaining classified file systems and storage containers.
- Ensure all administrative items conform to Navy Correspondence Manual, Awards Manual and procedural requirements.
- Maintain social rosters, recall bills and phone rosters.
- Assist with coordination of Change of Command ceremonies.
- De-conflict schedules, maintain meeting schedules, post updates and changes, notify all applicable personnel of revisions, coordinate use of conference rooms (including VTC and SVTC).
- Receive visitors, answer telephones, determine the nature of requests and direct callers to appropriate staff.
- Attend weekly meetings, track and follow up on action items assigned.
- Coordinate travel authorizations and travel arrangements.
- Prepare travel requests and arrange transportation, itineraries, schedule office calls and site visits.
- Process travel claims IAW Joint Travel Regulations (JTR) and Command specifications utilizing Defense Travel System (DTS) and Naval Reserve Order Writing System (NROWS).
- Verify all tasking is in accordance with NCG1 Standard Operating Procedures (SOP).
- Ensure meetings and appointments are scheduled on time and changes and cancellations are executed.
