The Executive Administrator focuses on calendar management, travel, and meeting logistics and coordination. The executive administrator embraces daily challenges, is invested in growing within the organization, and is excited to collaborate in a dynamic work environment. They possess strong organizational skills, works well across all levels of the organization, and are willing to take on additional tasks to support the team and get the job done.
Key Responsibilities
- Support management of complex, dynamic calendars, across multiple time zones.
- Assist with coordinating schedules and logistics, including travel, for internal and external meetings such as Executive Team meetings, Board of Directors meetings, investor presentations, KOLs, major conferences and advisory board sessions.
- Maintain availability to support executive needs in a fast-paced, dynamic environment.
- Support travel needs and assists in educating employees on travel policy, including booking domestic and international travel and completing expense reports.
- Maintain corporate biographies.
- Draft and proofread memos, letters, presentations, contracts, reports, and marketing materials as needed.
- Support communication and leadership interaction including handling confidential and non-routine information.
- Serve as administrative contact for the North Carolina offices, assisting with operational needs including company branded materials inventory, executive biography maintenance, and on-site event support.
Experience & Skills
- Bachelor’s degree preferred.
- 2+ years of experience in executive support in a fast-paced environment, preferably start-up/high growth.
- An equivalent combination of education and experience is acceptable.
- Highly organized with strong project management and prioritization skills.
- High attention to detail, organizational and planning skills, and ability to achieve results under tight deadlines.
- Relationship-builder with experience supporting executives across multiple time zones and creating connections across a dispersed team.
- Expert scheduler with Microsoft Outlook, comfortable with frequently shifting schedules (and reschedules).
- Strong verbal and written communications skills.
- Ability to think outside the box.
- Experienced at interacting with internal and external parties.
- Professional demeanor and a positive attitude, no task is too big or too small.
- High sense of ownership, responsibility, and accountability.
- MS Office skills and the ability to learn new software programs.
Work Environment
- Primarily desk-based, generally in an office or home office setting.
- May involve extended periods of sitting and computer use.
- Able to work outside of normal working hours as needed.
