Role Overview


Provides high-level administrative support to members of the executive team, managing complex calendars, coordinating travel, and organizing key engagements including advisory board meetings, investor interactions, and industry conferences.

Key Responsibilities
  • Manage complex, dynamic calendars, across multiple time zones, proactively identifying and resolving scheduling conflicts.
  • Coordinate and manage schedules and logistics, including domestic and international travel for internal and external meetings including Executive Team meetings, Board of Directors meetings, investor presentations, KOLs, major conferences and advisory board sessions.
  • Serve as a reliable point of contact for internal and external stakeholders, routing inquiries and communications appropriately and ensuring timely follow-up.
  • Anticipate executive needs and prepare relevant materials, briefings, and logistical details in advance of key meetings and engagements.
  • Manage confidential and non-routine information with discretion and professionalism.
  • Draft and proofread presentations, memos, reports, and other materials as needed.
  • Maintain flexible availability to support executive needs in a fast-paced, dynamic environment.
  • Contribute to the continuous improvement of processes and support standards to ensure seamless coordination across the executive team and organization.

Experience & Skills and Work Environment


Experience & Skills
  • Bachelor’s degree preferred; an equivalent combination of education and experience is acceptable.
  • 6+ years of experience in executive support in a fast-paced environment, preferably start-up/high growth.
  • Strong organizational and planning skills with the ability to manage multiple priorities and competing demands.
  • Exercises sound judgment and works independently on day-to-day tasks; escalates complex or sensitive matters appropriately.
  • Proficient in Microsoft Office Suite, particularly Outlook; comfortable managing frequently shifting schedules.
  • Experience with tools such as Box, SharePoint, Expensify, or similar platforms preferred.
  • Strong written and verbal communication skills with a professional and polished demeanor.
  • Builds effective working relationships internally and with key external contacts.
  • Demonstrated discretion when handling confidential or sensitive information.
  • Proactive and detail-oriented with a strong sense of ownership and follow-through.

Work Environment
  • Primarily desk-based, generally in an office or home office setting.
  • May involve extended periods of sitting and computer use.
  • Able to work outside of normal working hours is preferred.
