What You’ll Do

Provides high-level administrative support to the Chief Information Officer (CIO) and the areas that report into the CIO including their direct and indirect reports. This position regularly handles confidential and sensitive information and plays an important role in ensuring the proper functioning of the overall administration of the credit union. Provides research for priority projects, Confidentiality, tact, and integrity are essential in this role. Exceptional work ethics and organizational skills are essential.

Core Contributions

  • Provides direct support to the CIO, maintaining a one-on-one working relationship. Understands business priorities, provides complex calendar management (Outlook), prepares for internal and external meetings, delivers operational excellence, and proactively anticipates and supports the needs of the Senior Leader.
  • Aligns with C-Suite Leader on weekly priorities. Understands and helps to execute our people and business priorities and processes.
  • Exercises discretion in managing the confidential and sensitive nature of communications associated with senior executives' and managers' activities. Execute with a high level of confidentiality, integrity, political acumen and discretion, high attention to details.
  • Reacts with appropriate urgency to requests/situations that require a quick turnaround and takes effective action without having to know the whole picture.
  • Exercises moderate level of autonomy in troubleshooting issues as they arise. Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight.
  • Responsible for maintaining budget, reporting and expenses for all technology and data cost centers and reconcile. Resolve any problems that arise in the budget or are out of budget. Manage expenses and travel arrangements which includes processing system approvals promptly and handling expenses including corporate credit card invoices and reimbursements.
  • The ability to manage special projects while supporting the Chief Information Officer’s strategic priorities, including performing research and/or collecting data and reports from colleagues and consolidating for review and recommendations.
  • Approaches the coordination and scheduling of meetings strategically, ensuring requests have a clearly defined purpose and time zone sensitivities considered. Coordinate agendas and materials for meetings as needed.
  • Demonstrated ability to think strategically and prioritize leaders' calendar based on rapidly shifting priorities. Strong calendar management skills, including coordination of complex executive meetings across multiple time zones. Skilled problem-solver and organizational excellence. Resolve overlapping commitments and protect time for shifting priorities.
  • Event organization and coordination of team on and off-sites and team building activities including logistics.
  • Foster strong relationships and trust with Senior Leadership, Executive Assistants, Business Operations, and key business partners across the organization.
  • Team player with strong collaboration skills. Communicate clearly, succinctly, and effectively.

Assets You Will Bring

  • Associate’s degree or higher in Administration/Business, Management, Technology required.
  • 4-6 years experience supporting senior executives or leadership teams in an administrative or executive assistant capacity.
  • Senior level executive administrative support experience strongly preferred.
  • Computer Skills: Highly Proficient in Microsoft Office (Excel, PowerPoint, Word, Teams, Outlook).
  • Advanced calendar and executive schedule management.
  • Strategic thinking and prioritization.
  • Confidentiality and executive discretion.
  • Strong communication and interpersonal skills.
  • Problem-solving and decision-making abilities.
  • Project coordination and operational support.
  • Event planning and logistics management.
  • Ability to manage multiple priorities in a fast-paced environment.

The estimated salary range is $35.92 to $43.11 per hour.
