Executive Assistant

Overview
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional administrative skills and a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can handle sensitive information with discretion while providing outstanding customer service. The Executive Assistant will play a crucial role in ensuring smooth operations within the organization.

Responsibilities

  • Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Serve as the primary point of contact for internal and external communications, demonstrating excellent customer service skills.
  • Prepare and proofread documents, reports, and presentations to ensure accuracy and professionalism.
  • Utilize DocuSign for document management and electronic signatures, ensuring timely processing of important documents.
  • Perform clerical duties such as filing, data entry, and maintaining organized records to support efficient office operations.
  • Assist in implementing strategic plans, following designated methods and coordinating with specific teams.
  • Ensure timely execution of tasks, track progress, and provide daily updates
  • Oversee projects and manage team growth initiatives with guidance
  • Handle essential errands, such as securing business licenses, arranging parts from factories, and communicating with dealers.
  • Act as the CEO's point of contact for certain business dealings, following provided instructions to ensure accuracy and professionalism.
  • Collaborate with the CEO to design a streamlined, easy-to-follow SOP that supports operational consistency across the company.
  • Identify areas for improvement in existing processes and contribute to refining our internal workflows.

Experience

  • Proven experience in an administrative or executive assistant role is preferred.
  • Strong proficiency in office software applications (e.g., Microsoft Office Suite)
  • Excellent proofreading skills with attention to detail to ensure high-quality documentation.
  • Previous experience in project coordination or similar roles is a plus.
  • Ability to work independently while managing multiple priorities in a fast-paced environment.
  • Exceptional communication skills, both written and verbal, with a focus on customer service excellence.
  • Ability to speak in Mandarin Chinese and read and write in Chinese.

Job Type: Full-time

Pay: $24.00 - $30.00 per hour
