Executive Assistant

Executive Assistant – Operations, Influencer Program & Hiring Support

Summary
We are seeking a highly organized and proactive Executive Assistant to support leadership across several key operational areas, including influencer partnerships, hiring coordination, and customer follow-ups. This role will help keep projects moving forward by managing communications, coordinating recruiting efforts, supporting influencer outreach, and ensuring timely follow-up with customers and partners.

The ideal candidate is detail-oriented, comfortable managing multiple priorities, and capable of communicating professionally with candidates, influencers, customers, and internal teams.

Key Responsibilities

Hiring & Recruiting Support

  • Assist with sourcing candidates through job boards, social media, referrals, and networking.
  • Create and post job openings on relevant platforms.
  • Review resumes and help identify qualified candidates.
  • Conduct initial candidate outreach and coordinate interview scheduling.
  • Maintain candidate records and hiring pipelines in applicant tracking systems (ATS) or spreadsheets.
  • Communicate with candidates to provide updates and ensure a smooth hiring experience.

Influencer Program Support

  • Research and identify potential influencers and brand partners.
  • Assist with outreach and communication with influencers.
  • Coordinate influencer onboarding, campaigns, and deliverables.
  • Track influencer partnerships, agreements, and performance.
  • Help manage influencer relationships and follow-ups.

Customer & Partner Follow-Ups

  • Conduct follow-ups with customers and partners via email or phone.
  • Track and organize customer communications and feedback.
  • Ensure timely responses to inquiries and maintain positive customer relationships.

Executive & Operational Support

  • Manage calendars, scheduling, and meeting coordination.
  • Assist with administrative tasks, project tracking, and operational workflows.
  • Organize documents, reports, and internal communications.
  • Help ensure tasks and projects are completed on schedule.

Qualifications

  • Previous experience as an Executive Assistant, Operations Assistant, Recruiting Coordinator, or similar role preferred.
  • Strong written and verbal communication skills.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple projects and priorities simultaneously.
  • Comfortable using tools such as email, spreadsheets, project management tools, and job boards.
  • Proactive, resourceful, and able to work independently.

Pay: $18.00 - $25.00 per hour
