Job Announcement: Executive Assistant
Position Overview
We are seeking a dedicated, detail-oriented, and professional Executive Assistant to provide comprehensive support to our CIO and executive team. Reporting directly to the CIO, this role requires a proactive individual who can confidently manage executive demands, ensuring the team’s time is optimized to serve both internal and external members with enthusiasm and excellence, delivering the "Edwards Experience." As an Executive Assistant, you will serve as a liaison to the Board of Directors, manage corporate records, coordinate key meetings, and oversee special projects to enhance operational efficiency.
Key Responsibilities
- Corporate Record Oversight: Maintain and update essential documents such as the charter, bylaws, policies, and meeting minutes. Ensure compliance and accuracy through regular review and appropriate dissemination.
- Executive Communications & Content Production: Prepare high-level presentations, letters, memoranda, spreadsheets, and reports. Develop and implement content standards and style guides for executive deliverables, ensuring quality and timely completion.
- Board & Volunteer Liaison: Act as an administrative liaison for the board and supervisory committee, coordinating meetings, accommodations, travel reimbursements, and meeting materials. Keep detailed records, including training completion and attendance.
- Meeting Preparation & Coordination: Organize and prepare materials for meetings, coordinate schedules, and arrange room setups and audio-visual requirements. Facilitate refreshments or meals as needed.
- Event Planning: Serve as an event planner for the annual member meeting, strategic planning meetings, and other executive gatherings.
- Facilities Management: Oversee facilities management for the Palmdale office.
- Confidentiality & Discretion: Handle sensitive matters with the utmost confidentiality and discretion, especially those impacting credit union operations.
Skills & Qualifications
- Education & Experience: Bachelor’s degree preferred. 3-5 years’ experience in an executive or administrative support role.
- Organizational Skills: Ability to manage multiple tasks and deadlines with exceptional organization, initiative, and attention to detail.
- Communication Skills: Professional communication and customer service etiquette with strong writing, editing, and proofreading skills.
- Technical Proficiency: Advanced knowledge of Microsoft Office and typing skills.
- Confidentiality & Discretion: Commitment to maintaining confidentiality and handling sensitive information responsibly.
- Event Planning Experience: Previous event planning experience preferred.
Physical & Work Environment Requirements
- Ability to occasionally stand, walk, sit, and lift up to 10 pounds.
- Moderate noise level environment, adaptable with reasonable accommodations for individuals with disabilities.
