The opportunity

As Executive Assistant you will provide high-level, confidential administrative and operational support to multiple C-suite and senior leaders. This role requires exceptional organisational capability, sound judgment, and the ability to manage complex priorities within a fast-paced, global environment.

Acting as a trusted partner to senior leadership, the Executive Assistant plays a critical role in enabling executives to focus on strategic priorities while ensuring the seamless coordination of day-to-day activities. Success in this role requires a proactive mindset, strong attention to detail, and the ability to operate with discretion, independence, and professionalism while collaborating effectively across the organisation.

This role requires significant experience supporting senior executives and a proven ability to manage competing demands while maintaining a high standard of service and confidentiality.

Role responsibilities

  • Provide high-level administrative and operational support to multiple C-suite and senior executives, including complex calendar management, meeting coordination, and international travel planning across multiple time zones.
  • Proactively manage competing priorities, anticipate executive needs, and resolve scheduling challenges with minimal direction.
  • Act as a key point of contact between executives and internal and external stakeholders, ensuring professional, timely, and effective communication.
  • Prepare, review, and manage executive-level correspondence, presentations, reports, and briefing materials.
  • Coordinate board and leadership meeting activities where required, including logistics, agenda preparation, and secure distribution of materials.
  • Maintain the highest levels of discretion and confidentiality when handling sensitive business, personnel, and financial information.
  • Track key action items and follow up on deliverables to ensure commitments and deadlines are met.
  • Support executive meetings, leadership events, and off-sites, including logistics, preparation of materials, and follow-up communications.
  • Collaborate closely with other Executive Assistants and administrative professionals to ensure seamless support and coverage across the leadership team.
  • Identify opportunities to streamline administrative processes, systems, and workflows to improve efficiency and effectiveness.
  • Provide additional administrative support to senior leaders and contribute to special projects or cross-functional initiatives as business needs evolve.

Do you have what we are looking for?

Skills & expertise

  • Minimum of five years experience providing high-level administrative support to C-suite or equivalent senior executives.
  • Proven ability to support multiple senior leaders simultaneously within a complex, matrixed, global, and fast-paced environment.
  • Strong experience preparing executive-level presentations, reports, and briefing materials.
  • Demonstrated ability to manage highly confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Exceptional organisational, time management, and problem-solving skills, with the ability to prioritise competing demands effectively.
  • Professional presence with the confidence to interact effectively with senior leaders and external partners.
  • Highly adaptable, resilient, and comfortable operating in a dynamic and evolving environment.
  • Collaborative mindset with strong relationship-building skills across teams and functions.

Compensation will be determined based on factors such as relevant experience, skills, education, internal equity, and applicable geographic location, in accordance with state and local pay‑transparency laws.
