Executive Assistant

Job Overview
We are seeking a dynamic, and highly organized Executive Assistant to join our team! Duties

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events efficiently.
  • Preparing detailed itineraries.
  • Handle correspondence via phone, email, and written communication with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Prepare reports, presentations, and documents through proofreading, transcription, data entry, Microsoft Office applications, Canva, Slack, etc.
  • Organize files, maintain records, and oversee filing systems to ensure easy retrieval of information.
  • Assist with event planning for company meetings, conferences, and special events from inception to execution.
  • Provide personal assistant support as needed—managing personal appointments or errands for executives.
  • Use office management skills to streamline administrative processes and improve overall office efficiency.

Experience

  • Proven experience as an executive assistant or in a similar administrative role with at least several years of office experience.
  • Demonstrated expertise in calendar management using Microsoft Outlook Calendar and Google Workspace tools.
  • Strong proficiency in Microsoft Office Suite (Word, Excel PowerPoint) along with computer literacy across various platforms.
  • Skilled in event planning, project coordination, data entry, filing systems, transcription and proofreading.
  • Exceptional organizational skills with the ability to multitask effectively under tight deadlines.
  • Excellent communication skills—both written and verbal—with a professional demeanor suited for front desk duties and customer service interactions.
  • Prior experience supporting executives or high-level professionals in fast-paced environments will be considered an asset. Pay: $23.00 - $30.00 per hour
