We are seeking a highly organized, proactive Executive Assistant to work directly with senior leadership across a growing group of healthcare companies focused on behavioral health services.

This role supports the COO and CEO in managing day-to-day operations, coordinating strategic initiatives, and ensuring projects across multiple organizations stay organized and on track.

The ideal candidate thrives in a fast-paced environment, enjoys solving problems, and can manage multiple priorities simultaneously. This position provides direct exposure to executive decision-making, healthcare operations, and company growth initiatives.

This role is in-person in Pompano Beach and requires someone who is highly reliable, organized, and comfortable working closely with leadership.

Key Responsibilities

Executive Support

  • Manage executive calendars, scheduling, and meeting coordination
  • Organize travel logistics and executive itineraries
  • Assist with prioritizing tasks and managing daily workflows
  • Prepare agendas, meeting materials, and follow-up action items

Operational Coordination

  • Support operational initiatives across behavioral health programs
  • Coordinate with clinical leadership, billing teams, and administrative departments
  • Track project timelines and ensure operational priorities are executed
  • Help organize internal documentation, processes, and operational systems

Strategic Projects

  • Assist leadership with research, planning, and implementation of new initiatives
  • Prepare internal reports, presentations, and operational dashboards
  • Conduct research related to healthcare operations, insurance reimbursement, and regulatory requirements

Communication & Accountability

  • Act as a liaison between leadership and internal teams
  • Coordinate communication with external vendors, consultants, and partners
  • Ensure follow-up on key operational tasks and leadership directives

Qualifications

  • Exceptional organizational and time-management skills
  • Strong written and verbal communication
  • Ability to manage multiple projects simultaneously
  • Strong problem-solving ability and attention to detail
  • High level of professionalism and confidentiality

Strong proficiency in:

  • Excel / spreadsheets
  • Microsoft Office and Google Workspace
  • Project or task management systems

Preferred Experience

  • Experience in behavioral health, healthcare administration, or medical operations
  • Familiarity with healthcare billing, insurance, or facility operations
  • Experience supporting executives or senior leadership
  • Experience working in a fast-paced or multi-company environment

Compensation

Competitive pay based on experience, with opportunity for growth into a larger operational leadership role as the organization continues to expand.

Pay: From $25.00 per hour
