Position Overview

VIP is seeking a highly organized and proactive Executive Assistant to support the CEO and the executive leadership team. This individual will serve as a trusted partner responsible for managing complex schedules, coordinating executive communications, and ensuring the leadership team operates efficiently and effectively.

The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and maintains the highest levels of professionalism and confidentiality. This role requires exceptional attention to detail, strong judgment, and the ability to manage multiple priorities simultaneously.

Key Responsibilities

Executive Support

  • Manage complex executive calendars, prioritizing meetings and ensuring optimal time management for the CEO and leadership team
  • Coordinate internal and external meetings, including preparation of agendas, materials, and follow-ups
  • Handle confidential communications and sensitive information with discretion
  • Manage executive travel arrangements including logistics, itineraries, and expense reporting

Leadership Team Coordination

  • Provide administrative support to the executive leadership team including scheduling, documentation, and meeting coordination
  • Organize leadership meetings, offsites, and company events
  • Track key action items and follow-ups from executive meetings

Operational Support

  • Prepare presentations, reports, and briefing materials for executive meetings and board interactions
  • Assist with planning and coordination of leadership initiatives and strategic projects
  • Maintain organizational systems for documents, records, and communications

Communication & Stakeholder Management

  • Serve as a primary point of contact for executive office inquiries
  • Coordinate communication across internal departments and external partners
  • Ensure timely follow-up on executive priorities

Office & Event Coordination

  • Support planning of company leadership events, board meetings, and key stakeholder visits
  • Assist with logistics for company-wide initiatives and leadership communications

Qualifications

Required

  • 3+ years of experience supporting senior executives or C-suite leaders
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • Ability to manage confidential information with discretion
  • High proficiency with Microsoft Office / Google Workspace tools

Preferred

  • Experience supporting multiple executives in a fast-paced environment
  • Experience working with executive leadership teams or boards
  • Experience coordinating company events or leadership offsites

Compensation: $68,000-$78,000/year

Compensation is based on a variety of factors including skills, experience and industry background. The range listed here represents our best faith estimate for the role.
