Pay Range: $31.00 – $36.00 per hour

Position Summary

The Executive Assistant provides high-level administrative support to the President/CEO and Vice President of Resource Development & Communications, helping ensure smooth coordination of executive priorities, board relations, fundraising initiatives, and organizational communications.

This role serves as a key liaison between executive leadership, the Board of Directors, donors, and community partners while supporting the mission and operations of the organization. This position will also support and attend organizational events, including occasional evenings and weekends as required.

This position reports to the Vice President of Resource Development & Communications and works closely with the President/CEO to support executive priorities.

Key Responsibilities

Executive Support

  • Provide comprehensive administrative support to executive leadership.

  • Manage calendars, meetings, appointments, and travel logistics.

  • Prepare reports, correspondence, presentations, and meeting materials.

  • Coordinate internal and external meetings, including agendas and notes.

  • Track priorities, deadlines, and follow-up actions for leadership initiatives.

  • Maintain confidential records and documents with professionalism and discretion.

Board of Directors Support

  • Coordinate Board and committee meetings.

  • Prepare and distribute materials for Board of Directors and committee meetings.

  • Record, prepare, and distribute Board and committee meeting minutes.

  • Manage board member onboarding and maintain board records.

  • Serve as liaison between executive leadership and board members.

Administrative & Development Operations

  • Support major organizational initiatives, including the Gala, Youth of the Year program, sponsorship fulfillment, and fundraising campaigns.

  • Track project timelines, priorities, and deliverables.

  • Assist with fundraising events including vendor coordination, silent auction logistics, sponsorship fulfillment tracking, and event preparation.

  • Support grant applications and maintain related documentation as needed.

  • Monitor donor and sponsorship commitments and stewardship activities.

  • Coordinate with the Database Coordinator to ensure donor and event data in the organization’s CRM is accurate and up to date.
  • Support cross-department projects and other priorities as assigned.

Qualifications

  • Bachelor’s degree preferred, or an equivalent combination of education and professional experience.

  • Minimum of three (3) to five (5) years of executive assistant or executive-level administrative support experience, preferably supporting senior leadership.

  • Experience working with boards of directors, committees, or nonprofit executive leadership.

  • Experience supporting fundraising events, development teams, or donor engagement initiatives is a plus.

  • Highly organized with strong project management skills and exceptional attention to detail.

  • Excellent written and verbal communication skills with the ability to communicate professionally with internal and external stakeholders.

  • Demonstrated ability to work independently as a self-starter while managing multiple priorities in a fast-paced environment.

  • Proven ability to anticipate the needs of senior leadership and proactively address challenges before they arise.

  • Strong initiative with the ability to identify priorities, take ownership of tasks, and follow through with minimal direction.

  • Ability to think ahead, stay organized, and keep leadership informed and prepared.

  • Ability to handle sensitive and confidential information with professionalism and discretion.

  • Proficiency in Microsoft Office or Google Workspace; experience with CRM or donor database systems preferred.

Compensation

Hourly pay range: $31.00 – $36.00 per hour
This position is non-exempt and eligible for overtime in accordance with California wage and hour laws. Compensation within the range will be determined based on experience, qualifications, and internal equity.
