About Us

Compassionate Arms is a licensed home healthcare agency serving adults and children across Southeast Michigan. With approximately 250 caregivers and offices in Sterling Heights and Troy, we provide Community Living Supports, Respite Care, Personal Care, Homemaking, Transportation, and Skilled Nursing through a wide range of programs including Community Mental Health agencies, Michigan Home Help, Area Agencies on Aging, and Long-Term Services & Supports through dual-eligible insurance plans. We are growing rapidly and looking for the right person to join us at the center of it all.

About the Role

We are seeking a highly organized, proactive, and trustworthy Executive Assistant to work directly alongside the President and Owner of Compassionate Arms. This is not a traditional desk-bound assistant role — it is a dynamic position that blends professional executive support within the company with personal assistance in the owner's day-to-day life.

The ideal candidate thrives in fast-paced environments, exercises exceptional judgment and discretion, anticipates needs before they're expressed, and takes genuine pride in making everything around them run more smoothly. You'll serve as a gatekeeper, organizer, problem-solver, and right hand — someone the President can rely on completely.

What You'll Do

Professional Support

  • Manage the President's calendar, schedule meetings, and coordinate with internal staff, contractors, insurance plans, and government agencies
  • Screen and prioritize calls, emails, and correspondence on behalf of the President
  • Prepare documents, reports, presentations, and communications for internal and external audiences
  • Assist with HR, compliance, onboarding, and operational tasks as directed
  • Track deadlines and follow up on outstanding items across departments
  • Coordinate between office locations in Sterling Heights and Troy
  • Attend meetings, take notes, and ensure action items are completed
  • Assist with vendor communications, contracts, and purchasing
  • Support marketing and recruitment initiatives as needed
  • Maintain organized digital and physical filing systems
  • Handle confidential company information with the utmost discretion

Personal Support

  • Run personal errands and manage household-related tasks
  • Schedule and coordinate personal appointments, reservations, and travel arrangements
  • Research purchases and handle returns or exchanges
  • Assist with personal correspondence and gift purchases
  • Manage miscellaneous personal projects and tasks as they arise
  • Be available for occasional after-hours requests via phone or text

Who You Are

  • Exceptionally organized with strong attention to detail
  • A self-starter who takes initiative without waiting to be told what to do
  • Comfortable wearing many hats and switching between professional and personal tasks seamlessly
  • Technologically proficient — comfortable with Google Workspace, Zoom, scheduling tools, and learning new platforms quickly
  • An excellent communicator, both written and verbal
  • Able to maintain strict confidentiality regarding business operations and personal matters
  • Reliable, punctual, and accountable — you do what you say you'll do
  • Calm under pressure with the ability to prioritize competing demands
  • Possessing a valid driver's license and reliable personal vehicle

Qualifications

  • 2+ years of experience as an executive assistant, personal assistant, or office manager (healthcare industry experience a plus but not required)
  • Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
  • Strong written communication skills — you can draft professional emails, letters, and documents independently
  • Ability to handle sensitive information (HIPAA awareness is a plus)
  • Bilingual in Arabic, Chaldean, or Albanian is a plus but not required
  • Must pass a background check
