Job Listing: Executive Assistant
The Administrative Team Member supports the core functions of the administrative team as they relate to the overall needs of the practice.
Core functions of the administrative team include:
· Provide a welcoming atmosphere to all prospective and existing clients through both telephone and face-to-face contact
· Provide a timely, accurate, high level of service regarding the execution of all account related transactions.
· Meeting preparation and post meeting tasks
· Manage and coordinate advisor’s calendar, scheduling meetings and client service touchpoints
· Proactively anticipate and support the needs of advisor in day-to-day operations
· General office operations and upkeep
Receptionist/Administrator Tasks/Responsibilities include but are not limited to:
· Answering incoming phone lines and screening to assure incoming calls are redirected to the appropriate team member
· Greeting incoming clients to assure they are comfortable while waiting for their appointment
· Maintain conference room cleanliness between client appointments; cleaning up any used drink containers, wipe down tabletop, etc.
· Use of templates in CRM for all client related transactions
· Compliance records
Meeting Preparation and Scheduling to Include:
· Appointment confirmations delivered to clients in a timely manner
· Document preparation for client meetings
· Timely processing and tracking of new account applications and transfers
· Update CRM and financial planning software with account information
· Record keeping, scanning documents and organizing physical and digital folders
Knowledge, Skills, Education and Experience:
· Great attention to detail
· Proficiency in Word, Excel, PowerPoint, Outlook, CRM software
· Excellent verbal and written communication skills
· Ability to work independently and establish priorities
· Ability to handle multiple requests simultaneously and respond quickly
· Highly organized, with absolute attention to detail
· Excellent problem solving abilities
· Excellent research abilities
· Excellent follow-through and communication to team members regarding status of open items
· Ability to recommend procedures and reporting to improve the effectiveness of the team
· Client-first attitude
· Team player, collaborative, able to work with and through others
· Ability to project a professional image and firm’s brand to clients by the way in which he/she conducts himself/herself and the quality of the work produced
