Harbor Hills is a boutique wealth management firm based in Montecito serving successful families and business owners across California. We are seeking a highly organized, detail-oriented Executive Assistant to support the founder and help deliver an exceptional client experience.

This role is ideal for someone who thrives in a fast-paced environment, enjoys working with high-net-worth clients, and wants to grow within a professional financial services firm.

The right candidate will be proactive, polished, and capable of anticipating needs before they arise.

Responsibilities

Executive Support

• Manage and coordinate the founder’s calendar, meetings, and travel
• Screen and prioritize emails and communications
• Prepare materials and logistics for client meetings
• Assist with scheduling, reminders, and follow-up tasks

Client Service

• Coordinate client meetings and communications
• Prepare client meeting packets and documentation
• Track and follow up on account paperwork and requests
• Maintain accurate records in the firm’s CRM system

Operations & Projects

• Assist with planning client events and firm marketing initiatives
• Coordinate vendors and service providers
• Organize digital files and internal systems
• Support special projects as the firm grows

Ideal Candidate

• Comfortable learning new systems and technology
• Discretion and confidentiality with sensitive information

Experience in financial services, executive support, hospitality, or client service roles is a plus but not required.

Compensation

• Salary: $75,000 – $100,000 depending on experience
• Performance bonus potential
