We are seeking a seasoned, highly capable Executive Assistant to provide strategic administrative partnership to two senior executives while also overseeing key office operations. This role requires an individual who thrives in a fast-paced, high-expectation environment and can operate with exceptional judgment, resilience, and professionalism.

Key Responsibilities
Executive Support & Strategic Partnership
- Provide proactive, high-level administrative support to two senior executives.
- Manage complex and dynamic calendars, ensuring strategic prioritization of executive time.
- Coordinate domestic and international travel, including itineraries, logistics, and contingency planning.
- Prepare executive materials including presentations, briefing documents, reports, and meeting agendas.
- Serve as a trusted liaison between executives and internal/external stakeholders.
- Anticipate executive needs and resolve issues before they escalate.
- Support preparation for leadership meetings, board interactions, and key presentations.
- Manage confidential and sensitive information with the highest level of discretion.
- Track action items, deadlines, and follow-ups to ensure accountability and execution.
Office Management & Operational Coordination
- Serve as a central operational presence within the office.
- Oversee office operations to ensure a professional, organized, and productive environment.
- Manage office supplies, equipment, vendor relationships, and service providers.
- Support office events, leadership meetings, and team gatherings.
- Assist with reception coverage and visitor coordination, when needed.
- Maintain office systems, organization, and administrative processes.
Executive Meeting & Event Coordination
- Lead logistics and preparation for executive meetings and leadership engagements.
- Coordinate executive meetings, leadership offsites, and strategic planning sessions.
- Coordinate catering, technology, and meeting logistics.
- Ensure meetings run efficiently and support productive outcomes.
Stakeholder Communication & Relationship Management
- Act as a professional representative of the executives and organization.
- Communicate confidently with senior leaders, clients, partners, and team members.
- Maintain composure and professionalism in high-pressure situations.
- Navigate dynamic personalities with diplomacy, clarity, and confidence.
- Provide clear communication and follow-through on executive priorities.
Qualifications
Required Experience
- 4-5 years of Executive Assistant experience supporting senior leaders (VP level or above).
- Proven ability to manage multiple executives in a high-demand environment.
- Experience supporting leadership meetings, travel coordination, and executive communications.
