Role Overview
The Executive Assistant serves as a high-level operator supporting the CEO across business, financial, and operational functions. This role is not administrative-only—it is execution-focused, ensuring priorities move forward, systems stay organized, and key tasks are completed with precision and speed.
Core Responsibilities
Executive Support
- Manage CEO calendar, priorities, and daily workflow
- Coordinate meetings, travel, and communications
- Prepare summaries, reports, and key documents for decision-making
- Act as gatekeeper to protect time and focus
Financial & Administrative Operations
- Oversee bill pay, vendor payments, and expense tracking
- Assist with payroll coordination and 1099 processing
- Maintain QuickBooks records and organize financial data
- Support monthly reporting (P&L, cash flow tracking)
Business Operations
- Coordinate across printing, fulfillment, and inventory workflows
- Track production schedules and ensure deadlines are met
- Assist in managing vendor relationships and supply ordering
- Maintain SOPs and improve internal systems
Customer & Order Support
- Oversee customer service inbox and escalations
- Ensure orders, invoices, and fulfillment issues are handled quickly
- Support Shopify order management and inventory updates
Marketing & Execution Support
- Schedule and publish social media posts
- Assist with product launches and weekly drops
- Coordinate with content creators and marketing partners
- Help organize promotions, campaigns, and email sends

Qualifications
- 3+ years in an Executive Assistant, Operations, or similar role
- Experience with QuickBooks, Shopify, and Google Workspace
- Strong Excel/Google Sheets skills
- Experience in eCommerce, retail, or operations preferred
Compensation
- Salary: $60,000–$80,000 (based on experience)
- Performance-based bonuses tied to execution and company results

Pay: $60,000.00 - $80,000.00 per year
