Job Title: Client Associate / Executive Assistant

Duration: Direct Hire

Salary Range: $80K to $100K/annum


Job Description:

We are seeking a highly organized and proactive Client Associate / Executive Assistant to provide dedicated support to a senior executive within a fast-paced, professional services environment. This role combines executive-level administrative support with client-facing responsibilities, requiring exceptional attention to detail, discretion, and the ability to manage multiple priorities independently.

The ideal candidate will serve as a trusted partner, ensuring seamless day-to-day operations, effective client engagement, and efficient coordination of business activities. This position is best suited for someone who thrives in a high-performance setting and can anticipate needs while maintaining a high standard of professionalism.


Key Responsibilities

Executive & Administrative Support

  • Provide direct, high-level support to a senior executive, acting as a trusted point of contact.
  • Manage complex calendars, scheduling, and travel logistics across multiple priorities.
  • Prepare, review, and organize confidential communications, reports, and presentations.
  • Track deadlines, follow-ups, and key initiatives, ensuring timely execution.
  • Maintain organized filing systems and handle sensitive information with strict confidentiality.

Client Service & Relationship Management

  • Serve as a liaison between clients and internal stakeholders, ensuring timely and professional communication.
  • Coordinate client meetings, materials, and follow-ups to support relationship management.
  • Track client interactions, requests, and deliverables through CRM systems.
  • Prepare client documentation, correspondence, and service-related materials with accuracy.
  • Support onboarding activities and ongoing client account maintenance.

Operations & Coordination

  • Maintain accurate records of client activities and workflows within CRM platforms.
  • Assist with operational processes including documentation, transaction coordination, and reporting.
  • Collaborate with internal teams to ensure smooth execution of client-related processes.
  • Manage sensitive financial and operational information with discretion and accuracy.


Qualifications

  • Bachelor’s degree preferred; equivalent professional experience considered.
  • 3–5+ years of experience supporting senior executives, preferably in professional or financial services environments.
  • Demonstrated ability to manage competing priorities with minimal supervision.
  • Experience working in client-facing or relationship-driven roles.
  • Proficiency in Microsoft Office Suite; experience with CRM systems (e.g., Salesforce) is a plus.
  • Strong written and verbal communication skills with a high level of professionalism.
