JOB SUMMARY
This position helps organize and expedite the Chief Program Officer’s (CPO) workflow by providing administrative services.
GOAL
This job exists to:
- Coordinate and schedule appointments and communication for the CPO.
- Coordinate the planning, resourcing, and follow-up for all Program Leadership Team (PLT) meetings.
- Maintain all materials and documents related to PLT.
- Coordinate the goal-setting and budget planning process for the CPO (PLT).
- Serve as the main point of contact for basic PLT-related communication, both within and outside of the organization.
- Support the planning of marriage conferences as needed.
- Manage the process of the Bi-Annual Staff Engagement and Health Survey.
- Other duties as assigned by the CPO.
RESPONSIBILITIES
1. Coordinate and schedule appointments and communication for the CPO.
- Maintain the CPO’s calendar and task completion priorities from a time management perspective.
- Manage CPO’s schedule, ensuring regular interaction with direct reports.
- Keep presentation materials readily available to CPO, whether printed or digital.
- Ensure CPO’s email is responded to in a timely manner.
2. Coordinate the planning, resourcing, and follow-up for all PLT meetings.
- Schedule meetings.
- Preparing the meeting agenda, minute taking, and follow-up on action items.
- Arrange for the lodging and transport of international staff and guests.
- Coordinate meeting rooms, Zoom sessions, A/V, and catering, when needed.
3. Maintain all materials and documents related to PLT.
- Create Monthly Alliance Report for PLT (and partners) that includes Alliance Report and Continental Updates.
4. Coordinate the annual goal-setting and budget planning process for the CPO (PLT).
- Collect the goals of the various PLT members to assist the CPO in compiling an overall goal-setting.
- Collect the budgets from the PLT members to assist the CPO in compiling an overall budget.
5. Serve as the main point-of-contact for basic PLT-related communication, both within and outside of the organization.
- Represent the CPO in communication – written and verbal with partners, PLT members, and Global Disciples’ staff.
- Collaborate with Alliance Resource Team, as needed.
6. Support the planning of marriages conferences as needed.
- Event and material support for marriage conferences.
- Compile budgets, with input from CPO.
7. Manage the process of the Bi-Annual Staff Engagement and Health Survey.
- Send out the staff survey on behalf of the CPO and track responses, in cooperation with the HR team, to help ensure 100% participation.
8. Other duties as assigned by the CPO.
QUALIFICATIONS
- Must be a committed follower of Jesus Christ and an active member of a Christian church.
- Passion for the mission and work of Global Disciples and alignment with its statement of faith, goals, purposes, and objectives.
- Ability to take initiative in decision-making.
- Capacity for and enjoyment of working independently.
- Adaptable, with a pleasant demeanor and positive interaction with others.
- Well-organized, detail-oriented, and able to keep a variety of projects moving forward.
- Excellent computer skills, including mastery of Microsoft Office Suite & Office 365.
- Some experience in Salesforce is preferred.

Pay: $23.00 - $30.00 per hour
