The Executive Assistant is a pivotal role that goes well beyond traditional administrative support. You will serve as a strategic partner, gatekeeper, and operational extension of the CEO Office, ensuring the smooth functioning of the executive office in a dynamic, high-stakes environment. This role requires exceptional judgement, discretion, and the ability to operate with minimal supervision across multiple priorities simultaneously.

Key Responsibilities
Strategic Calendar and Schedule Management

Own and manage the CEO’s calendar end-to-end, including prioritization, scheduling, and real-time adjustments across multiple time zones

Act as gatekeeper for all meeting requests, exercising sound judgement on priorities and time allocation

Prepare daily and weekly briefings with agendas, background materials, and action items for upcoming engagements
Communications and Correspondence

Draft, review, and manage high-level correspondence on behalf of the CEO, including emails, memos, and formal letters

Serve as the first point of contact for internal and external stakeholders seeking access to the CEO

Handle sensitive and confidential communications with the utmost discretion
Travel and Logistics

Coordinate complex domestic and international travel arrangements, including flights, accommodation, visa processing, and ground transportation

Prepare detailed travel itineraries and briefing packs for conferences, investor meetings, government engagements, and site visits

Manage last-minute changes and contingencies with composure and efficiency
Meeting and Event Coordination

Organize and coordinate board meetings, executive leadership meetings, investor presentations, and high-profile events

Prepare meeting materials, capture minutes, and track follow-up actions to ensure accountability

Liaise with internal teams and external parties to ensure seamless execution of events
Operational and Administrative Support

Support the CEO with research, data gathering, and preparation of presentations and reports

Manage expense reporting, procurement requests, and office administration related to the executive office

Maintain organized filing systems for confidential documents, contracts, and strategic materials
Stakeholder Liaison

Build and maintain strong working relationships with key internal and external stakeholders, including board members, investors, government officials, and senior leadership

Represent the Office of the CEO with professionalism and poise in all interactions
Project and Initiative Support

Track and follow up on key strategic initiatives and CEO action items to ensure timely progress

Assist in coordinating cross-functional projects as directed by the CEO

Identify opportunities to improve workflows, processes, and efficiency within the executive office
Education and Experience

Bachelor’s degree in business administration, Communications, or a related field

Minimum 7 years of experience as an Executive Assistant supporting C-suite executives, preferably in technology, logistics, automotive, or high-growth environments

Experience in a startup or scale-up environment is strongly preferred
Skills and Competencies

Exceptional organizational and time management skills with the ability to manage competing priorities under pressure

Outstanding written and verbal communication skills in English; Arabic is a strong advantage

Advanced proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools such as Slack, Notion, or Asana
