About the Role
Avalon Law Firm is seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the Principal Attorney. This is a high-trust, fast-paced role requiring strong communication, organization, discretion, and the ability to manage competing priorities.
The ideal candidate is very organized, able to handle a high volume of task requests, follow instructions closely, and support both executive and client-facing responsibilities with professionalism.
What You Will Do
- Executive Support: Manage calendars, emails, calls, and daily priorities; schedule meetings, calls, and appointments to maximize executive time
- Client & Communication Support: Respond to basic inquiries (emails and calls), coordinate calls, and assist with scheduling and follow-ups with clients, vendors, and internal staff
- Workflow Coordination: Track deadlines, follow up with team members, and ensure tasks and requests are completed on time
- Meeting Coordination: Schedule in-office meetings, vendor lunches, and internal appointments.
- Communication Management: Draft, proofread, and manage professional correspondence via email and phone
- Personal & Travel Coordination: Arrange dinners, book flights, hotels, and transportation for both business and personal needs. Schedule business and personal appointments per executives request.
- Office Operations Support: Assist the COO with in-office operational needs, including maintaining organization, coordinating quarterly shredding services, managing supplies, and ensuring general office upkeep (charging cameras, etc..).
- Administrative Tasks: Maintain organized filing systems, keep documents properly stored, and assist with day-to-day office logistics
- Supply Management: Manage weekly supply needs from cleaning team, and place new orders as requested.
What We’re Looking For
- Previous experience as an Executive Assistant or high-level Administrative Assistant (law firm or professional services preferred)
- Strong communication skills with the ability to interact professionally with clients, vendors, and leadership
- Highly organized with strong attention to detail
- Proactive and able to manage multiple priorities without constant direction
- Ability to handle confidential information with discretion
- Comfortable in a fast-paced, high-expectation environment
- Strong Tech Skills - Proficient in Microsoft Office; experience with CRM or legal software is a plus
- Reliable and punctual (100% onsite role)
