We are seeking an experienced Executive Administrative Assistant to support Carrier’s North America Residential & Light Commercial HVAC business executive team.
Key Responsibilities:

Manage executives’ daily calendar appointments and meetings and prioritize appointments based on business impact and urgency.

Schedule domestic and international travel arrangements and complete detailed meetings and travel itineraries.

Monitor and complete electronic expense reports in a timely manner.

Prepare/review communications and materials through various MS office tools including the importing of pictures, charts, etc., when needed.

Manage logistics, invitations, agendas, and records for key meetings to ensure seamless execution and delivery.

Consolidate reports and materials for executive meetings and customer visits, including business reviews.

Process purchase orders, work orders, and invoices, including communicating with vendors and tracking through payment and closure.

Handle sensitive information with the utmost confidentiality and professionalism.

Review/negotiate facility contracts as necessary.

Oversee facilities and manage repairs, renovations, work orders, and office moves to ensure compliance with security and safety regulations.

Interface with all levels of the organization at Carrier and with external customers in a professional and effective manner.

Manage special projects and other support as required; work independently with initiative to achieve initiatives.

Work closely and collaboratively with other administrative assistants.
Required Qualifications:
-
Associates Degree
- 5+ years as an assistant supporting multiple executives at one time
Preferred Qualifications:
-
Experience managing domestic and international travel and filing expense reports using various systems i.e. Concur, American Express, Ariba, World Travel, Radius, or other travel-related systems.

Event planning experience with key leadership meetings, small group business reviews, and or larger-scale employee and customer meetings.

Ability to quickly build rapport and trusting relationships with the executive leadership team and be the “go-to” partner.

Can see ahead and anticipate executive’s needs and makes recommendations to resolve issues, drive efficiency, and improve processes.

Passion for servicing customers. Ability to listen to customer needs and quickly act to solve their problems, go above and beyond to exceed their expectations.
