Job Title: Executive Assistant – Founder’s Office

Location: Bangalore, India (Hybrid)

Reporting To: Founder & CEO, BrandStory Solutions Pvt. Ltd.

Years of experience: 3 to 4 years of relevant experience.

Role Overview

The Executive Assistant to the Founder’s Office at BrandStory acts as the strategic right hand to the CEO — enabling focus on vision, business growth, and organizational transformation. This is not a secretarial role; it’s a business partner position that blends operations, strategy, and execution across marketing, design, production, and technology verticals.

You will work at the intersection of business, creativity, and leadership — driving critical initiatives, ensuring operational rhythm, and acting as a bridge between the CEO and cross-functional teams.

This role suits someone with strong business intellect, high emotional intelligence, excellent communication, and an entrepreneurial mindset.

Key Roles and Responsibilities

1. Founder’s Office Management & Coordination

  • Manage the Founder’s calendar, appointments, and communications with discretion, clarity, and foresight.
  • Coordinate meetings, track minutes, and ensure timely closure of action items.
  • Liaise with business heads across BrandStory, OriginUX, and other group entities to maintain project momentum and accountability.
  • Ensure that key strategic initiatives and client commitments move forward without bottlenecks.

2. Strategic & Business Enablement

  • Support the Founder in business planning, revenue tracking, and operational follow-ups across functions.
  • Prepare research notes, competitor insights, and strategic briefs for client pitches and internal presentations.
  • Conduct case-based reviews and questionnaires related to brand strategy, business etiquette, and executive decision-making.
  • Assist in conceptualizing, documenting, and reviewing proposals, presentations, and key business decks.

3. Commercial & Financial Acumen

  • Develop a sound understanding of BrandStory’s service lines — Brand Strategy, Marketing, Design, Digital, and Technology.
  • Track commercial performance, billing, and client collections in collaboration with the Finance and Accounts team.
  • Prepare business reports, project dashboards, and profitability summaries for weekly and monthly reviews.
  • Support vendor negotiations, documentation, and follow-ups.

4. Executive Communication & Stakeholder Management

  • Draft executive-level communication — internal announcements, client emails, board notes, and investor briefs.
  • Uphold BrandStory’s tone of professionalism and empathy in all correspondence.
  • Represent the Founder’s Office with polish, credibility, and cultural alignment — both internally and externally.
  • Maintain utmost confidentiality in handling sensitive business, HR, and client information.

5. Project & Time Management

  • Implement time management and organizational best practices to optimize the Founder’s bandwidth.
  • Support the execution of multi-functional projects — from branding audits to new product launches.
  • Identify and mitigate project risks, dependencies, and communication gaps.
  • Maintain high visibility over ongoing initiatives and report status updates with clear next steps.

6. Leadership Partnering & Business Impact

  • Act as a thinking partner to the Founder — contributing ideas, perspectives, and structured feedback.
  • Support in planning and executing leadership offsites, client workshops, and internal training sessions.
  • Manage confidential initiatives related to partnerships, hiring, and organizational expansion.

Key Skills & Competencies

  • Executive Presence: Confidence, tact, and clarity when engaging with C-level executives, clients, and team leaders.
  • Business Acumen: Understanding of marketing, design, and digital business operations.
  • Analytical Ability: Capable of synthesizing data, insights, and discussions into actionable summaries.
  • Time & Task Management: Ability to manage multiple priorities, stakeholders, and projects simultaneously.
  • Technology Fluency: Proficient in Google Workspace, MS Office, Notion, Monday.com, and CRM tools (Zoho, HubSpot, etc.).
  • Professional Etiquette: Exemplary written and verbal communication skills, cultural intelligence, and polished demeanor.
  • Adaptability: Agile, solution-oriented, and comfortable with fast-paced decision-making.

Qualifications & Experience

  • Graduate/Postgraduate (MBA preferred) with 3–4 years of experience supporting Founders, CEOs, or CXOs.
  • Prior experience in Marketing, Consulting, Creative, or Technology firms will be an added advantage.
  • Demonstrated ability to work independently with minimal supervision while managing high-stakes deliverables.

Growth Path

The EA role is a stepping stone to strategic leadership within BrandStory. Exceptional performers will have the opportunity to evolve into roles such as Chief of Staff , Strategy & Operations Lead , or Business Transformation Manager , working directly on scaling the agency’s business units and new ventures.

You’ll also undergo structured development in:

  • Commercial and business literacy
  • Strategic communication and client engagement
  • Executive presence and leadership partnering
  • Time and risk management frameworks
