Executive Assistant /Office Manager

The Executive Assistant to Managing Partner/Office Manager will play a crucial role in providing high-level administrative support, ensuring smooth daily operations, and managing complex schedules. Client Details

This privately owned real estate investment firm is based in Midtown Manhattan. It's a 20 person office.

Description

  • Manage the Managing Partner's calendar, schedule, and travel arrangements efficiently.
  • Prepare and organize meetings, including agendas, minutes, and follow-ups.
  • Handle confidential correspondence and communications with professionalism.
  • Coordinate and manage internal and external events as required.
  • Act as a liaison between the Managing Partner and internal/external stakeholders.
  • Maintain and organize critical documents and files for easy accessibility.
  • Assist with special projects and research tasks as needed.
  • Ensure the Managing Partner is well-prepared for all engagements and commitments.
  • Oversee day-to-day office operations, ensuring efficient workflows, well-maintained facilities, and a productive work environment.
  • Manage office budgets, vendor relationships, supplies, and contracts to support business needs and control costs.
  • Coordinate administrative support, including scheduling, onboarding logistics, and internal communications, to enable smooth cross‑team collaboration.

Profile

A successful Executive Assistant to Managing Partner should have:

  • Bachelor's degree for an accredited college or University
  • Proven experience in an executive support/office management role, ideally within real estate investment
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • High proficiency in Microsoft Office Suite and other relevant tools.
  • Ability to manage multiple priorities with a proactive approach.
  • Discretion and professionalism in handling sensitive information.
  • Strong interpersonal skills to build relationships with stakeholders.
