Executive Assistant & CRM Coordinator
We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will efficiently manage business-related tasks, organize schedules, and ensure smooth day-to-day operations. Experience with CRM software or handling CRM-related tasks is essential for this role.
Key Responsibilities:
- Prepare financial statements, reports, memos, invoices, letters, and other business documents.
- Answer phone calls, route inquiries, and take accurate messages.
- Handle basic bookkeeping and maintain financial records.
- File, manage, and retrieve corporate records, documents, and reports.
- Conduct research and data analysis to prepare materials for review and presentation by boards, committees, and executives.
- Assist in meeting preparations, including drafting agendas and accurately recording minutes.
- Greet visitors and determine appropriate access to executives.
- Utilize various software tools, including word processing, spreadsheets, databases, and presentation applications.
- Review, analyze, and distribute incoming memos, submissions, and correspondence.
- Manage travel arrangements, including flights, accommodations, and itineraries.
- Perform general office duties such as ordering supplies and maintaining records databases.
- Handle incoming emails, faxes, and correspondence, ensuring timely distribution.
- Provide overall administrative support, ensuring efficient office and executive operations.
- Manage CRM systems effectively—updating records, tracking leads, generating reports, and supporting CRM-related workflows.
Requirements:
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role.
- Strong working knowledge and hands-on experience with CRM software (e.g., Salesforce, HubSpot, Zoho, or similar).
- In-depth understanding of the full Microsoft Office Suite.
- High school diploma required; additional qualifications are an advantage.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks.
- Proven ability to meet deadlines in a fast-paced and dynamic environment.
- Strong proactive problem-solving and decision-making abilities.
- Professional verbal and written communication skills.
- Languages Required: English and Hindi.
