Location: Johar Town, Lahore

Shift Timings: 12:00 PM to 09:00 PM

Job Summary

The Assistant Operations will provide administrative, secretarial, and operational support to ensure smooth day-to-day functioning of the department. The role involves managing documentation, coordinating with internal teams, scheduling tasks, and assisting the Operations Manager in executing operational activities.

Key Responsibilities

1. Administrative & Secretarial Support

Manage daily administrative tasks including filing, documentation, and correspondence.

Draft, format, and prepare official letters, reports, and meeting minutes.

Handle incoming calls, emails, and inquiries professionally.

Maintain calendars, appointments, and schedule meetings for the Operations Manager.

2. Operational Assistance

Assist in coordinating operational activities with different departments.

Support in preparation of daily task updates, operational reports, and follow-ups.

Ensure timely communication of updates, issues, and operational delays to the relevant teams.

Maintain records, databases, and logs as required by the operations team.

3. Coordination & Communication

Serve as a point of contact between the Operations department and other teams.

Follow up on pending tasks, deadlines, and operational requirements.

Coordinate interdepartmental communication to ensure workflow efficiency.

4. Document & Data Management

Maintain organized digital and physical documentation for easy retrieval.

Assist in preparing operational presentations, summaries, and reports.

Ensure confidentiality and secure handling of all internal documents.

5. Support to Operations Manager

Assist the manager in planning, monitoring, and executing operational tasks.

Provide reminders, updates, and support for day-to-day management activities.

Conduct basic research and gather information required for operational decisions.

Requirements

Bachelor’s degree in Business Administration, Management, or a related field.

2–3 years of experience in a secretarial, administrative, or operations support role.

Strong communication and coordination skills.

Proficient in MS Office (Word, Excel, PowerPoint).

Excellent organizational and time management abilities.

Ability to multitask and work under minimal supervision.
