Overview:

As the Executive Assistant (EA) to the CEO, you will serve as a strategic right-hand, enabling the CEO to focus on high-value activities, steering growth, building relationships, and driving the company’s vision. You will anticipate needs, manage information flows, coordinate critical engagements, and ensure operational excellence at the executive level.
The role also involves assisting with personal matters as required, ensuring all tasks are managed with utmost confidentiality and sensitivity.

Tasks and Responsibilities:

Strategic & Executive Support

  • Coordinator for the CEO’s calendar, prioritising high-impact meetings, travel and commitments in alignment with strategic goals.
  • Prepare briefing materials, slide decks, agendas, meeting notes and follow-up actions for internal and external engagements.
  • Partner with cross-functional leaders (e.g., Marketing, Sales, Development, HR) to surface issues, ensure alignment, and keep the CEO updated.

Operational Efficiency

  • Manage travel logistics (domestic & international), accommodations, visas, itineraries and expense reconciliation.
  • Handle correspondence, email triage, call screening and ensure timely responses where required, acting with discretion and professionalism.
  • Maintain and organise confidential files, contracts, board / stakeholder documentation and executive records.
  • Oversee special projects as assigned (e.g., leadership off-sites, board meeting prep, strategic initiatives), ensuring timely delivery and alignment with executive priorities.

Relationship & Stakeholder Management

  • Represent the CEO in internal communications, ensuring clarity of messages and timely dissemination of decisions.
  • Liaise with the leadership team, key clients, partners and external advisors on behalf of the CEO building trust and maintaining strong working relationships.
  • Support the CEO in event participation, speaking engagements, industry conferences, and strategic networking opportunities.

Culture & Innovation Catalyst

  • Embed the company’s values of “problem-solving”, “transparency”, “simplicity” into the EA function and help foster a culture of high performance and continuous improvement. Codup
  • Identify and implement tools, workflows or processes that elevate executive productivity and innovation (e.g., automation of routine tasks, optimised briefing packs, digital dashboards).
  • Act as a confidant, sounding board and trusted partner to the CEO providing insight, feedback and operational agility that supports growth.


Education/Qualification Requirement:

Must-have:

  • Bachelor’s degree (Business Administration, Management, or related field preferred).
  • Minimum 5 years of progressive experience supporting senior executives (CEO/COO/EVP), ideally in a fast-paced tech, digital, or professional services environment.
  • Superb organizational, time-management, and prioritization skills—able to handle ambiguity and shifting priorities with calm and effectiveness.
    Excellent written and verbal communication skills (English mandatory, Urdu an asset).
  • High degree of discretion, confidentiality, and integrity in handling sensitive information.
    Adaptability to work across time zones, coordinate globally, and travel when required.

  • Experience working in transformation-driven companies.
  • Strong proficiency with executive productivity tools (e.g., Microsoft Office 365, Google Workspace, Asana/Trello, Zoom, Slack).
  • Analytical mindset with ability to summarise data, highlight insights, and escalate appropriately.
