Executive Assistant to the CEO

We are seeking a highly experienced and professional Executive Assistant to serve as the right hand to the CEO of a growing group of companies operating in construction, site development, real estate investment, and private estate management.
This role extends beyond traditional administrative support. The Executive Assistant will function as a trusted partner to the CEO, helping manage priorities across multiple businesses and properties, coordinating high-level initiatives, and supporting marketing, operations, and estate-related responsibilities.
The ideal candidate is proactive, highly organized, resourceful, and comfortable operating in a fast-paced, entrepreneurial environment. This role requires flexibility, strong judgment, and the ability to manage confidential matters with discretion.
Key Responsibilities
Executive Partnership & Strategic Support
- Serve as a trusted partner to the CEO in managing priorities, initiatives, and day-to-day operations across multiple companies and properties.
- Manage the CEO’s complex calendar, meetings, travel, and appointments.
- Prepare executive reports, presentations, correspondence, and briefing materials.
- Track key projects, initiatives, and action items to ensure timely follow-through.
- Conduct research and assist the CEO with preparation for business decisions and meetings.
Construction & Operations Coordination
- Assist with coordination across multiple construction projects and job sites.
- Track project timelines, deliverables, and communication between project managers, field teams, vendors, and clients.
- Organize and maintain documentation including proposals, contracts, project materials, and permits.
- Support communication between office staff and field personnel to ensure alignment across projects.
Estate & Property Management Support
- Assist with administrative oversight of the CEO’s private estate and investment properties.
- Coordinate vendors, maintenance, service providers, and property-related projects.
- Maintain records related to property operations, improvements, and service agreements.
- Support scheduling and coordination for property inspections, improvements, and ongoing maintenance.
Marketing & Brand Development
- Assist with marketing initiatives for construction projects, business ventures, and real estate properties.
- Manage digital presence including websites, social media platforms, and project marketing content.
- Create marketing materials such as project profiles, presentations, proposals, and promotional materials.
- Support brand development and promotion of completed projects and development opportunities.
Qualifications
- Experience supporting senior executives or business owners in a high-level support role.
- Experience in construction, real estate development, property management, or entrepreneurial business environments strongly preferred.
- Exceptional organizational skills with the ability to manage multiple priorities and complex schedules.
- Strong business judgment and ability to anticipate executive needs.
- Experience with marketing, branding, or digital content management preferred.
- Excellent communication and problem-solving skills.
- High level of discretion and professionalism with confidential information.
- Proficiency in Microsoft Office, Google Workspace, and marketing/design tools.
Additional Requirements
- Valid driver’s license required.
- Must be willing and able to travel locally and drive to various job sites, offices, and properties as needed.
- Comfortable working in both office and field environments when supporting operational needs.
