WHAT THIS ROLE ACTUALLY IS

This is a high-impact, high-ownership position supporting a fast-growing service company scaling toward $2M+.

You will:

  • Run the CEO’s day so she can focus on growth, not logistics
  • Make decisions in real-time with confidence
  • Build systems that reduce manual work and prevent repeat issues
  • Turn incomplete ideas into structured, executable plans
  • Ensure the office team is aligned and executing correctly
  • Anticipate problems before they become problems

Your job is simple to say, hard to execute:

Protect the CEO’s time and ensure the business runs smoothly without constant intervention

WHAT YOU’LL OWN

Calendar Command

  • Time-block the CEO’s calendar based on company priorities
  • Identify and resolve conflicts before they happen
  • Ensure time is spent on high-impact work only

Daily Operations Flow

  • Monitor RingCentral, Asana, and internal communication channels
  • Identify what matters most and prioritize accordingly
  • Keep the office team focused on key priorities

Decision-Making

  • Handle day-to-day decisions independently
  • Escalate strategically when needed
  • Move forward with clarity even when direction is evolving

Automation and Systems

  • Identify repetitive tasks and eliminate them through automation
  • Build workflows using Zapier, Make, or native integrations
  • Use tools like ChatGPT and Claude Code to streamline documentation, communication, and execution
  • Improve speed, accuracy, and consistency across systems

Execution and Follow-Through

  • Ensure tasks are completed fully and correctly
  • Drive projects forward across departments
  • Hold team members accountable to deadlines and outcomes

Team Alignment and Rollout

  • Ensure the right people are informed before changes are implemented
  • Build clear rollout plans for any project impacting the team
  • Confirm understanding, adoption, and execution across the office

Anticipation

  • Identify gaps before execution begins
  • Solve problems before they reach the CEO
  • Build complete plans, including coverage, ownership, and timing

CEO SUPPORT

You will support both business and personal logistics for the CEO with the same level of ownership and attention to detail.

This includes:

  • Scheduling personal appointments (health, wellness, travel, etc.)
  • Managing personal calendar alongside business priorities
  • Anticipating personal needs that impact work performance and energy
  • Handling logistics with discretion, efficiency, and follow-through

You approach personal support with the same level of professionalism, organization, and ownership as business operations.

HOW YOU OPERATE

The CEO moves quickly and often shares ideas in real time, sometimes incomplete or in brainstorm form.

In this role, you:

  • Ask clarifying questions early to create clarity
  • Translate ideas into clear outcomes, priorities, and next steps
  • Identify missing pieces before execution begins
  • Build full plans before moving work forward
  • Ensure team alignment before rolling out any change

You take responsibility for ensuring work is not only started, but fully completed and functioning in real operations.

  • Built or improved systems using automation tools
  • Managed multiple priorities in a fast-paced environment
  • Been trusted to act independently

COMPENSATION AND DETAILS

  • Remote position with required EST overlap
  • Competitive hourly rate based on experience
