We are seeking a dynamic and highly organized Executive Assistant to support the CEO in all facets of executive administration. This role is vital in ensuring seamless daily operations, managing complex schedules, coordinating projects, and handling confidential communications with professionalism and efficiency. - Manage the CEO’s calendar with precision using Google Calendar, including scheduling meetings, appointments, and travel arrangements.
- Provide comprehensive executive administrative support by preparing correspondence, reports, and presentations using Google Workspace tools.
- Coordinate multiple projects simultaneously by tracking deadlines, organizing resources, and ensuring timely completion through effective project management techniques.
- Handle all aspects of office management including filing, data entry, document proofreading, transcription, and maintaining organized records.
- Serve as the first point of contact via multi-line phone systems with professional phone etiquette; screen calls and direct inquiries appropriately.
- Assist with event planning for company meetings, conferences, and special events to ensure smooth execution from logistics to follow-up.
- Oversee bookkeeping tasks such as invoicing and expense tracking utilizing QuickBooks or similar accounting software; perform basic bookkeeping duties.
- Manage personal assistant responsibilities including personal scheduling for the CEO, handling confidential information discreetly, and supporting personal errands when needed.
- Facilitate communication between departments by coordinating meetings, preparing agendas, and documenting minutes for follow-up actions.
- Utilize office management skills to maintain a welcoming front desk environment and ensure the office runs efficiently on a daily basis. Experience
- Proven experience as an executive assistant or in a similar administrative role supporting C-level executives.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Calendar), and office equipment.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent typing speed along with transcription and proofreading skills to produce accurate documents swiftly.
- Experience with event planning, project coordination, bookkeeping (QuickBooks preferred), and office management is highly desirable.
- Familiarity with multi-line phone systems, data entry processes, filing systems, and customer service standards.
- Ability to handle sensitive information with discretion while maintaining professionalism at all times.
