Key Responsibilities Executive Support
- Manage the CEO’s calendar, scheduling, and daily priorities
- Monitor and organize the CEO’s inbox and communications
- Prioritize urgent matters and ensure timely follow-up
- Coordinate travel arrangements, meetings, and logistics
- Prepare meeting notes, summaries, reminders, and action items
- Assist with personal administrative tasks as needed
Communication & Coordination
- Serve as a liaison between the CEO and internal departments
- Route information and requests to the appropriate team members
- Track action items and ensure accountability across projects
- Draft and edit emails, communications, and internal updates
- Maintain professionalism and confidentiality in all interactions
Operations & Administrative Management
- Organize reports, documents, workflows, and recurring processes
- Assist with ordering supplies, equipment, and company materials
- Help manage timelines, deadlines, and operational priorities
- Maintain organized systems for tracking tasks and projects
- Support leadership meetings and operational rhythms
CRM & Client Support
- Enter and maintain client information in HubSpot CRM
- Assist with client communication follow-up and relationship management
- Track outreach, proposals, and business development activities
- Help maintain organization of key client accounts and contacts
Social Media & Brand Support
- Coordinate executive and company social media engagement
- Schedule and organize LinkedIn and marketing content
- Assist with field content creation and company branding initiatives
- Support a consistent and professional company image
Team & Culture Support
- Schedule team lunches, leadership check-ins, and recurring meetings and trainings
- Support company communication and culture initiatives
- Assist with SCRUM workflows and internal accountability systems
- Help facilitate collaboration between departments and leadership
