VACANCY NOTICE

POSITION TITLE: Executive Assistant to the Superintendent

BUILDING(S): Administrative Center

CLASSIFICATION: Tier III

TERMS OF EMPLOYMENT: 12 months. Monday-Friday: 8 hours/day.

IMMEDIATE SUPERVISOR: Superintendent

SALARY: Starting at $72,000- $80,000/year commensurate

with credentials and experience

EVALUATION PROCEDURES: Annually

QUALIFICATIONS:

1. High school diploma or equivalent required; associate’s or bachelor’s degree in
business administration, human resources, or a related field preferred.

2. Several years of progressively responsible administrative or executive assistant
experience, preferably in an educational or human resources setting.

3. Proficiency with office software including, but not limited to, Microsoft Office
Google Workspace.

4. Accurate data entry skills and strong attention to detail.
5. Excellent organizational and multitasking abilities, with the capacity to manage

multiple priorities in a fast-paced environment.

6. Outstanding written and verbal communication skills.
7. Demonstrated ability to handle sensitive and confidential information with

discretion.

8. Strong interpersonal skills and the ability to work effectively with diverse
individuals and groups, including staff, students, families, and community

members.

9. Ability to work effectively in a linguistically and culturally diverse environment;
Spanish language proficiency preferred.

JOB DESCRIPTION/RESPONSIBILITIES:

1. Demonstrate excellent typing / word processing skills with speed and accuracy.
2. Demonstrate initiative, creativity, and effective problem-solving skills, using

sound judgment to minimize the supervisor’s workload.

3. Maintain advanced computer skills, including proficiency with Microsoft Office,
Google Workspace and other relevant software to create documents and manage

digital workflows.

4. Set appropriate priorities and efficiently perform duties with minimal direction.
5. Operate and maintain office equipment, including reprographic devices.
6. Draft correspondence, reports, and other documents efficiently and accurately with

minimal supervision.

7. Present a courteous, professional manner when interacting with supervisors, staff,
students, and the public.

8. Organize and manage office operations, including maintaining records, files, and
accurate accounts of revenue and expenditures.

9. Continually update knowledge and skills to keep pace with a changing workplace.
10. Greet visitors and students, provide appropriate information or assistance, or refer

to appropriate staff.

11. Answer incoming telephone calls, provide information, take messages, and refer to
appropriate staff as needed.

12. Uphold professionalism, confidentiality, and ethical standards in all practices,
following district rules, regulations, and the Illinois School Code.

13. Participate in and attend building and district meetings, as required, and maintain
professional competence through in-service education activities.

14. Coordinate and support a variety of special events and activities, such as opening
day, staff dinners, and Board meetings.

15. Prepare, distribute, and maintain Board of Education meeting materials, including
agendas, packets, minutes, notices, and official records; post meetings as required.

16. Provide comprehensive support services to the Board of Education, including
coordinating Board actions and maintaining updated Board policy/manuals on

office and District website.

17. Assist with professional development activities by scheduling, preparing materials,
and supporting related logistics.

18. Assist the Superintendent, Public Relations, or other relevant departments with
district and school communications, including the preparation and dissemination of

information to staff, families, and the community.

19. Coordinate and set up for all regular and special Board of Education meetings, and
attend these meetings as required.

20. Serve as the IASB (Illinois Association of School Boards) liaison for Board
members and District-level administration, keeping them informed of relevant

updates and information.

21. Perform other tasks and assume additional responsibilities as assigned by the
Superintendent.
