What you’ll do
You will be responsible for providing high-touch, detail-oriented administrative support to the Partners and Principals while supporting the overall operations of the Life Sciences Practice. You will work closely with the Director of Practice Management to ensure seamless coordination. You will:

Manage calendars, meeting coordination and scheduling, travel arrangements, and expense reimbursements for assigned individuals.
- Proactively manage Partners’ and Principals’ calendars regularly; proactively addresses conflicts in advance; and coordinate meetings and other logistics as needed.
- Provide meeting and event preparation and coordination (pre-meeting, meeting, post-meeting) for internal and external meetings including proactively arranging and organizing meeting materials, technology requirements, catering requirements, and other logistics.
- Assist with billing and accounts receivable, contractor management, vendor management, conflict checks, and engagement letters.
- Track and monitor practice-related expenses and other expenditures, including business development expenditures.
- Regularly update and maintain details on Life Sciences Practice client deliverable deadlines and coordinate with appropriate stakeholders across the firm. Assist with updating Partners’ CVs and engagement statistics.
- Participate in the onboarding of new staff by updating practice rosters, distribution lists, and calendar invitations to assist with integration into the Life Sciences
- Practice and other onboarding responsibilities as requested.
- Support and coordinate practice social events (on-site and off-site) by working with the practice social events committee to schedule events, advise staff on firm policies and guidelines, manage event budgets, and oversee vendor contracts in collaboration with the Director of Practice Management.
- Draft well-written, succinct, and accurate correspondence that is tailored to audiences including emails, letters, and other communications.
- Assist with data deletion tracking.
- Assist with coordinating meals for project teams during busy periods.
- Create and maintain organized document management systems and processes.
- Ensure Partners’ contact lists are up to date.
- Demonstrate flexibility and a solution-oriented mindset, adapting to shifting priorities and proactively addressing challenges to support the practice.
- Provide production assistance.
- Present self professionally at all times.
- Maintain a calm and professional demeanor while assisting with difficult and sensitive situations, ensuring the handling of confidential information with discretion and integrity.
- Provide back up as needed to other Executive Assistants.
What you’ll bring to the table

Minimum 7-10 years in an Executive Assistant role, including 3+ years working with senior management, preferably in a fast-paced, high-growth professional services environment.
- Exceptional oral and written communication skills.
- Proactive with creative problem-solving ability.
- Functions well within a team; initiates and maintains positive team relationships, receptive to others’ input and ideas.
- Excellent interpersonal skills; ability to interact and establish rapport with individuals at all levels of the firm, including strong personalities.
- Advanced organizational and administrative skills with keen attention to detail.
- Strong project management skills with ability to see projects through to completion.
- Exceptional multi-tasker who thrives on juggling multiple priorities/ongoing projects.
- Basic mathematical and analytical skills.
- Advanced working knowledge of Microsoft Office software (PowerPoint, Excel, Word, Outlook).
- Honest, trustworthy, and diplomatic with ability to handle sensitive materials and issues.
- Exceptional judgment and discretion.
- May require more than 40.0 hours per week at times to perform the essential duties of the position.

Competitive compensation—the salary range for this position is $100,000 to $120,000. This position is also eligible for bonus compensation on a discretionary basis. The actual salary offered for this position will be determined based on job-related, non-discriminatory factors including qualifications and experience, education, external market data, and internal equity.
