Reports to: Company Vice President of Operations

  • This role supports ownership by organizing work, maintaining task flow, and ensuring execution across operations, finance, and communication.
  • The Candidate will operate between dual leadership styles, translate direction into action, and maintain control of information, documentation, and follow-through.

Core Function

  • Capture tasks from calls, texts, and meetings.
  • Convert them into structured, actionable items.
  • Track progress and ensure completion without follow-up from leadership.
  • Organize and maintain documents, files, and communication.
  • Draft clear, professional output from rough or incomplete input.
  • Support operational flow by keeping priorities aligned and work moving.Work Environment
  • Operate in a fast-paced environment with shifting priorities.
  • Receive direction that may be direct, incomplete, or time-sensitive.Clarify quickly, execute, and adjust as needed.
  • Maintain consistency, structure, and control without requiring constant supervision.

Requirements

  • Strong computer proficiency
  • Google Workspace (Drive, Docs, Sheets, Chat)
  • Microsoft Office Suite
  • Adobe Acrobat Pro
  • Canva
  • Familiarity with:
  • Apple / iOS / Mac environment
  • QuickBooks (reporting, data entry)
  • Timekeeping / field systems (ExakTime or similar)
  • Reliable transportation
  • Ability to pass background check
  • Credit review required (used as a behavioral metric, not a disqualifier)

Professional Standard

  • Communicate clearly, concisely, and in structured format when required.
  • Demonstrate execution ability through written responses and organization of information.
  • AI is a tool, not a replacement for original thought, discernment, and Judgement.

Ability to follow instructions, and processes before recreating or offering improvements.

Ability to organize and triage tasks into time relevant execution

Ability to prove competency with skillsets, experience, or references provided in resume.

Development

Training will be provided through courses, workshops, or independent study.

Reimbursement or tuition assistance available upon completion of approved training.

Additional Considerations

Proficient at conducting open-source research on companies, individuals, and networks as needed.

Gather, organize, and present information in usable formats to support leadership decision-making.

Calm under what feels like chaos, and focused on achieving positive outcomes

Pay: $34,000.00 - $52,000.00 per year
