Executive Operations Support

Courageous Transformations is seeking a highly organized, professional, and dependable Executive Assistant to support executive leadership within a fast-paced behavioral healthcare and opioid treatment program (OTP) environment.

This role is ideal for someone who thrives in high-level administrative support, can manage competing priorities, maintains strict confidentiality, and communicates professionally with leadership, staff, external agencies, and patients.

The ideal candidate is emotionally mature, detail-oriented, proactive, and able to remain calm under pressure while supporting executive operations and organizational initiatives.

Essential Responsibilities Executive & Administrative Support

  • Manage executive calendars, scheduling, meetings, and follow-up coordination
  • Prepare correspondence, reports, presentations, meeting agendas, and internal communications
  • Coordinate executive meetings and maintain meeting minutes when needed
  • Assist leadership with special projects and operational initiatives
  • Maintain organized electronic and physical filing systems

Operational & Compliance Support

  • Assist with preparation and organization of audit, accreditation, and compliance documentation
  • Support tracking related to CARF, DEA, Medicaid, licensing, and regulatory requirements
  • Maintain strict confidentiality in accordance with HIPAA and 42 CFR Part 2
  • Assist with policies, procedures, onboarding documentation, and operational workflows
  • Coordinate communication between departments to support organizational efficiency

Office Coordination

  • Assist with onboarding logistics and training coordination
  • Monitor office supply and administrative needs
  • Support facility-related administrative requests and vendor coordination

Qualifications

  • Minimum 3 years of administrative support experience required
  • Executive support experience strongly preferred
  • Healthcare, behavioral health, or OTP experience preferred
  • Strong organizational, multitasking, and communication skills
  • Proficiency in Microsoft Office Suite, Outlook, Excel, Word, Teams, and EMR environments.
  • Ability to handle confidential information with professionalism and discretion
  • Ability to work independently in a fast-paced environment
