Job Overview
We are seeking a highly organized and proactive Executive Personal Assistant to support a renowned chef with diverse administrative and operational responsibilities. This role requires a professional with exceptional multitasking abilities, excellent communication skills, and proficiency in office management tools. The ideal candidate will serve as a key point of contact, manage schedules, coordinate projects, and handle various administrative tasks to ensure the chef's daily operations run smoothly and efficiently.
Duties
- Manage and maintain the chef’s calendar, including scheduling appointments, events, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
- Provide executive administrative support such as drafting correspondence, proofreading documents, and transcribing audio or video recordings.
- Coordinate event planning activities for private dinners, culinary events, or public appearances.
- Handle bookkeeping and invoicing using QuickBooks and perform basic bookkeeping tasks.
- Oversee office management duties including filing, data entry, and maintaining organized records.
- Manage communication via multi-line phone systems with professional phone etiquette; screen calls and respond to inquiries promptly.
- Assist with project coordination related to culinary initiatives or business development efforts.
- Support personal errands and other tasks as needed to facilitate the chef’s professional and personal commitments.
- Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and DocuSign for document signing processes.
- Provide customer service support at the front desk or during events as required.
Qualifications
- Proven experience as an executive assistant, personal assistant, or in office management roles with strong administrative background.
- Exceptional organizational skills with keen attention to detail and ability to prioritize tasks effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and data entry systems.
- Excellent typing speed along with proofreading and transcription skills.
- Strong communication skills including phone etiquette and professional demeanor in all interactions.
- Experience with event planning, project coordination, bookkeeping, and office procedures is highly desirable.
- Ability to handle multiple projects simultaneously while maintaining accuracy and professionalism.
