Executive & Personal Assistant To Chairman and General Manager

Istanbul, Turkey

We are seeking an experienced and highly organized Executive & Personal Assistant to Chairman and GM to support the daily operations of our prestigious international real estate company specializing in luxury residential and commercial projects.


QUALIFICATIONS AND JOB DESCRIPTION

RESPONSIBILITIES

  • Managing the calendars, meetings, and appointment schedules of both the Chairman of the Board and the General Manager
  • Organizing all domestic and international travel arrangements (flights, visas, accommodation, transfers)
  • Handling emails, phone calls, and written correspondence on behalf of both executives with confidentiality and professionalism
  • Preparing documents, reports, and presentations; organizing and maintaining digital and physical files
  • Coordinating meeting logistics, taking notes, and following up on action items
  • Monitoring and assisting in daily business tasks and priorities
  • Maintaining regular communication with key stakeholders (family, clients, etc.), including sending greetings, thank-you notes, and formal correspondences
  • Managing personal appointments, reminders, and specific routines (e.g., daily courtesy calls to close family members)
  • Organizing gifts, celebrations, and personal calendar events (birthdays, anniversaries, holidays, etc.)
  • Handling private errands such as shopping, reservations, and personal logistics
  • Providing support during personal or business trips when required
  • Coordinating with household staff or external vendors when necessary
  • Creating a positive, respectful, and motivating presence in daily communication


QUALIFICATIONS

  • University degree, preferably in Business Administration, International Relations, Communications, Languages, or related fields
  • Advanced level of English (spoken and written) is mandatory
  • Russian or Chinese language skills are a strong advantage
  • Excellent organizational, time management, and multitasking abilities
  • High level of discretion, professionalism, and trustworthiness
  • Comfortable working in a dynamic environment with shifting priorities
  • Available for flexible working hours.
  • Strong digital literacy (MS Office, calendar/email tools, online platforms)
  • Well-groomed, positive, calm under pressure, and solution-oriented
  • Based in Istanbul with no travel restrictions
