Executive Personal Assistant to Chief Executive Officer

Overview

A leading investment firm is seeking a highly experienced Executive / Personal Assistant to support its CEO in a true right-hand capacity. This is a critical, high-trust role that blends executive support with personal coordination, requiring sound judgment, discretion, and the ability to operate at pace in a demanding environment.

The position is based in New York City and requires five days per week in-office presence.


The Role

Working in a one-on-one partnership with the CEO, this individual will serve as a central point of coordination across both business and personal matters. The role requires constant prioritization, proactive problem-solving, and the ability to anticipate needs before they arise.

You will act as a gatekeeper and liaison to senior leadership and external stakeholders, ensuring seamless communication and execution across a wide range of responsibilities. This is a highly visible position that plays a key role in enabling the CEO to operate efficiently and effectively.


Key Responsibilities

  • Manage a complex and ever-changing calendar, ensuring alignment with strategic priorities
  • Coordinate detailed domestic and international travel, including itineraries, logistics, and supporting materials
  • Serve as a primary point of contact between the CEO and internal/external stakeholders, including senior leadership
  • Act as a gatekeeper to the CEO’s time, managing competing priorities with sound judgment
  • Handle sensitive and confidential information with the utmost discretion
  • Draft and manage correspondence, presentations, and other materials on behalf of the CEO
  • Track and drive follow-ups on key initiatives, ensuring timely execution
  • Support both business and personal matters with equal efficiency and professionalism
  • Anticipate needs, identify potential issues, and proactively implement solutions


Profile

  • 10+ years of experience supporting senior executives, ideally within financial services or a similarly fast-paced environment
  • Demonstrated ability to manage high-volume, high-pressure workflows with precision and composure
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • High level of emotional intelligence and professional maturity
  • Proven ability to handle confidential matters with discretion and sound judgment
  • Proactive, resourceful, and comfortable operating independently
  • Advanced proficiency in Microsoft Office and related tools


Additional Details

  • Location: New York City (5 days in-office)
  • Compensation: $200,000 – $300,000 base, plus competitive benefits
