Executive Secretary
Experience Required: 8–12+ years of experience providing executive-level support to C-suite executives (CEO, COO, or equivalent), preferably within the construction, infrastructure, or corporate sectors.
Role Summary:
We are seeking a highly organized, proactive, and discreet Executive Secretary to provide comprehensive support to the CEO and COO. The ideal candidate will be adept at managing executive workflows, coordinating high-level tasks and projects, and handling sensitive information with the utmost professionalism.
Key Responsibilities & Expertise:
· Executive Support & Coordination: Proven experience managing schedules, calendars, meetings, and correspondence for top executives. Ability to prioritize tasks and ensure the smooth flow of information and actions across departments.
· Task & Project Tracking: Skilled in monitoring and following up on executive-level tasks, initiatives, and strategic projects to ensure deadlines and objectives are consistently met.
· Administrative Excellence: Competent in handling daily office administration, document preparation, travel arrangements, minutes of meetings, and executive reporting with accuracy and discretion.
· Marketing & Communication Support: Exposure to corporate communications, public relations, and marketing, with the ability to assist in presentations, proposals, internal campaigns, and stakeholder engagement activities.
· Problem Solving & Initiative: Proactive approach to identifying executive needs, resolving issues independently, and supporting effective decision-making processes.
· Technical Proficiency: Advanced skills in MS Office Suite (Excel, PowerPoint, Outlook, Word), ERP systems, and digital collaboration platforms. Experience in preparing high-impact presentations and business documentation.
· Interpersonal & Cross-Functional Coordination: Strong interpersonal and negotiation skills, with the ability to liaise confidently across departments and represent the executive office with professionalism.
· Confidentiality & Ethics: Maintains a high level of confidentiality and professional integrity in handling sensitive business information and executive communications.
· Adaptability & Multitasking: Able to manage multiple priorities in a dynamic, fast-paced environment, with attention to detail, organization, and consistent quality of output.
· Team Support & Guidance: Capable of guiding junior staff, coordinating small teams when needed, and fostering collaborative work dynamics across the organization.
Educational Qualifications:
· Bachelor’s Degree in Business Administration, Management, or a related field – mandatory
· Additional qualifications in Marketing, Corporate Communication, or Office Management – preferred
