Executive Secretary

As an Executive Secretary at Al Marasem Group, you will play a pivotal role in supporting senior leadership, ensuring seamless communication, and contributing to the overall efficiency of executive functions. Your role is crucial in maintaining confidentiality, managing executive schedules, and facilitating high-level interactions.


Your responsibilities will encompass the following key areas:


Executive Support:

  • Provide comprehensive administrative support, including managing emails, drafting correspondence, and preparing reports.

Calendar Management:

  • Efficiently organize and maintain executive schedules, ensuring optimal time management and prioritization of tasks.

Communication Liaison:

  • Act as a primary point of contact for internal and external stakeholders, screening and managing communications with professionalism and discretion.

Meeting Coordination:

  • Arrange and coordinate meetings, conferences, and events, including logistics, attendee invitations, and preparation of materials.

Document Preparation:

  • Draft, edit, and proofread executive-level documents, presentations, and reports with a keen eye for detail and accuracy.

Travel Arrangements:

  • Facilitate travel plans, accommodations, and itineraries, ensuring a smooth experience for executive travel.

Confidentiality Management:

  • Handle sensitive information with utmost confidentiality and discretion, maintaining the highest level of privacy and security.

Task Prioritization:

  • Effectively prioritize and manage tasks and projects to support executive workflow, ensuring deadlines are met.

Record Keeping:

  • Maintain organized and up-to-date records, including contact lists, executive files, and other relevant documentation.

Expense Management:

  • Track, submit, and reconcile executive expenses, ensuring accuracy and compliance with company policies.

Office Coordination:

  • Collaborate with other departments to ensure seamless office operations, including ordering supplies, coordinating maintenance, and managing office logistics.

Problem Solving:

  • Proactively identify and resolve administrative issues, demonstrating initiative and problem-solving skills.


To excel in this role, candidates should possess the following qualifications and attributes:


  • Bachelor's degree in Business Administration or a related field.
  • Minimum 5 years of proven experience as an Executive Secretary or similar role, supporting senior executives.
  • Exceptional organizational and multitasking skills.
  • Advanced proficiency in MS Office applications.
  • Excellent communication and interpersonal skills.
  • Strong command of the English language.
